Our client, a respected mid-sized civil litigation defense firm, is seeking an experienced Legal Secretary to support a busy team of attorneys. The ideal Legal Secretary candidate has a strong background in civil litigation and thrives in a fast-paced, team‑oriented environment.
Key Responsibilities
- Provide comprehensive administrative and litigation support to attorneys handling civil defense matters.
- Prepare, proofread, and file pleadings, discovery, motions, and correspondence in state and federal courts.
- Manage attorney calendars, schedule depositions, hearings, and client meetings.
- Handle court filings (electronic and physical) and maintain case files.
- Communicate with clients, court staff, and opposing counsel in a professional manner.
- Assist with billing and time entry for assigned attorneys.
Qualifications
✅ 3+ years of legal secretary experience with a focus on civil litigation.
✅ Proficiency in e-filing (state and federal) and knowledge of court rules and procedures.
✅ Strong organizational and time-management skills – able to handle multiple deadlines.
✅ Proficiency in MS Office Suite (Word, Outlook, Excel); experience with legal case management software a plus.
✅ Excellent written and verbal communication skills.

• Minimum of 3 years of experience as a Legal Secretary, preferably in civil litigation.
• Strong proficiency in calendaring software such as Practice Master.
• Familiarity with document management systems like Docuware.
• Experience with state and federal court filing procedures, including e-filing platforms like One Legal.
• Solid organizational skills and ability to manage multiple tasks effectively.
• Knowledge of California civil procedures is highly desirable.
• Proficiency in Microsoft Word for document formatting.
• Associate degree or equivalent certification in legal studies is preferred.
