Key Responsibilities
Core Functions:
- Warmly welcome guests, anticipate their needs, and assist with arrival, office orientation, and departure—responding promptly and with your personal touch, regardless of how busy the day may be.
- Create memorable experiences through a friendly, approachable, and professional demeanor.
- Proactively address guest needs and questions with confidence and care.
- Share knowledge of the area, office, services, spaces, and amenities to make guests feel informed, comfortable, and productive.
- Collaborate with colleagues to communicate guest service trends and develop best practices and efficient processes.
- Handle multiple tasks in a fast-paced environment while maintaining impeccable attention to detail.
- Demonstrate professionalism, responsiveness, and exceptional customer service at all times.
- Schedule conference rooms and visiting offices using the firm’s space management system, Rendezvous.
- Coordinate and order catering for meetings and events.
Additional Responsibilities:
- Track all visitors, including vendors, employees, and guests.
- Manage parking validations and records.
- Coordinate security access cards for employees and vendors.
- Assign visitor badges and ensure a smooth check-in process.
- Send daily and weekly office reports and support other administrative tasks as needed.
- Assist with employee onboarding and offboarding processes.
- Manage incoming and outgoing courier packages and mail.
- Support the annual management plan by achieving key performance indicators.
- Perform ad hoc facilities tasks and other assignments as needed.
Qualifications
- Experience: Minimum 5 years of reception experience; law firm experience preferred.
- Flexibility: Ability to adapt to changing priorities and maintain a positive, cheerful outlook.
- People Skills: Passion for delivering exceptional experiences that exceed expectations.
- Communication: Strong verbal and written communication skills; able to engage professionally and warmly with all guests.
- Multi-tasking: Skilled at managing multiple priorities while ensuring consistent, elevated guest experiences.
- Technology: Proficiency with office technology and platforms.
- Physical Activity: Ability to perform minimal physical tasks, such as carrying small packages.
