The administrator will greet all visitors entering the office and directing to the appropriate Tax Professional. Provide support to the Tax Professionals by managing appointment calendars, scheduling clients and collecting confidential documents for further processing. The administrative assistant will use a telephone system with multiple lines answering a high level of calls providing excellent customer service. Qualifications: Education/Certification: High school diploma or GED Special Knowledge/Skills:
• Bilingual preferred and required
• Ability to maintain a high level of confidentiality to sensitive data
• Must have a high attention to detail
• Excellent written and oral communication skills
• Proficient in Microsoft Office programs; Word and Excel
• Knowledge of general office equipment and technology Experience
• Able to work evenings and Saturdays during the months of January through April (tax season)
• Able to work shifts during the months of January through April (tax season)
One (1) year in a similar role or setting providing a high level of confidentiality and customer service. Major Responsibilities and Duties: - Greet all incoming clients cheerfully and respectfully - Answer all incoming phone calls, receiving and distributing detailed messages in a timely manner - Maintain a high level of client confidentiality when handling sensitive data - Manage Tax Professional calendars by scheduling client appointments and ensuring all appointments are confirmed prior to arrival - Respond to all inquiries via phone or email - Assist with preparing and mailing documents - Provide administrative support to Tax Professionals by collecting client documents and delivering completed returns within strict deadlines - Process all payments ensuring all transactions are recorded in a payment log - Assist clients with information regarding their refund status - Must be able to work well under pressure and meet all deadlines while maintaining accuracy - Must be able to work independently as well as in a team environment - Scanning, photocopying, filing, faxing, printing as needed - Maintain office equipment; stock supplies for the Tax Professionals, organize supplies - Office cleaning and sanitizing, washing breakroom dishes - Other duties as assigned Supervisory Responsibilities: None Mental Demands/Physical Demands: Maintain emotional control under stress. Sedentary work some standing. Occasionally lift small office equipment and paper boxes. Office environment; not exposed to environmental conditions.
