Legal Secretary, hybrid.

A highly regarded international law firm is seeking an experienced Legal Secretary to provide advanced administrative support to senior attorneys, including firm leadership. This role supports fast-paced practice groups and requires excellent technical, organizational, and communication skills.


Key Responsibilities

  • Prepare, format, and proofread complex legal documents and correspondence
  • Handle confidential and sensitive information with discretion
  • Manage calendars, meetings, and domestic/international travel
  • Coordinate billing, time entry, and client invoicing using InTapp and 3E
  • Support meetings, conferences, and special events
  • Maintain electronic and paper filing systems
  • Assist with document production, transcription, scanning, and binders
  • Serve as a liaison with internal departments and outside vendors

Executive Committee / Leadership Support (as assigned)

  • Heavy multi-office scheduling and meeting coordination
  • Travel arrangements and high-confidentiality support

Qualifications

  • 7+ years of administrative experience; legal experience strongly preferred
  • Advanced Microsoft Office 365 skills (Outlook, Word, PowerPoint)
  • Strong proficiency with Nuance, Litera Change Pro, and Adobe Acrobat
  • Advanced document formatting skills (TOC, TOA, styles, cross-references)
  • Typing speed of 80 WPM
  • Excellent written and verbal communication skills
  • Ability to work overtime as needed

Education

  • High School Diploma or GED required; AA/BA preferred
