Position Summary:
We are seeking a professional, proactive, and detail-oriented Front Desk Receptionist / Administrative Support Specialist to join our team supporting Nelson Mullins. This role is ideal for a personable candidate with excellent customer service skills and a background in administrative support—preferably within a legal or corporate environment. The ideal candidate will serve as the first point of contact for all guests and employees, manage front office operations, and provide light clerical and hospitality support across two floors.
Key Responsibilities:
Reception & Guest Services

Greet all visitors and employees with a welcoming, professional demeanor

Manage visitor check-in/out process in accordance with security procedures

Answer and direct phone calls following company etiquette standards

Serve as concierge for guests and staff, providing local recommendations as needed

Maintain the cleanliness and presentation of the front lobby and common areas
Meeting & Conference Support

Schedule and manage conference room bookings and prepare rooms for meetings
-
Ensure rooms are fully stocked with supplies, beverages, and technology setup

Provide light hospitality, including coffee, water, and food orders as needed

Assist with setup and breakdown of after-hours meetings and firm events
Administrative Support

Sort, process, and route inbound and outbound mail and shipping

Order and manage office supplies; maintain inventory in supply closets and rooms

Provide light clerical support including document preparation and calendar management

Assist with drafting and preparing legal documents (as directed)

Monitor staff locations to direct calls and guests appropriately

Build and maintain professional relationships with attorneys, staff, and clients

Qualifications:
Required:

High school diploma or equivalent
-
2+ years of professional experience in a front desk, administrative, or office support role

Proficiency with MS Office Suite (Word, Excel, PowerPoint)

Exceptional customer service, interpersonal, and communication skills
-
Ability to handle multiple priorities in a fast-paced environment
-
Strong attention to detail and a proactive, team-oriented attitude
