Intake Manager
A premiere, mid-sized, dynamic law firm seeks an Intake Manager based in the New York office to provide support for a high-volume client intake function. The successful candidate will report to the Firm’s Director of Business Development and Communications and work with the Case Development Senior Manager and others to review and assess client intakes, coordinating assignments to attorneys as appropriate.
Responsibilities:
- Ensure timely processing of potential client inquiries by coordinating case assessment and other intake steps by Firm attorneys.
- Serve as a client-service ambassador, ensuring that potential clients receive exceptional service from all Firm stakeholders.
- Manage the Firm’s client intake database.
- Handle case evaluation and case selection at scale.
- Identify trends and opportunities in the Firm’s client intake function, tracking processing times, outcomes, and opportunities for client-service improvement.
- Perform related tasks as needed.
Qualifications:
The successful candidate will have a combination of employment, educational, and life experience that demonstrates the qualities and skills below:
- Education and Experience: You have a minimum of 4 years of relevant experience in client intake, client-relationship management, legal operations, case assessment, or other high-volume, detail-oriented professional customer-service work. Candidates with experience coordinating workflows, improving processes, managing databases or tracking systems, and supporting potential plaintiffs or other types of legal case evaluation are preferred. J.D. a plus.
- Clear Communication, Reporting, and Attention to Detail: You express yourself clearly and concisely, highlighting the most important information. You proactively track and communicate the status of intake matters, report out on progress and trends, and ensure that colleagues have the information they need to move work forward. You are highly attentive to detail and take pride in delivering high-quality, polished work product.
- Organization, Efficiency, and Follow-Through: You bring strong organizational skills to complex, high-volume work. You are able to create and improve systems that make work more efficient, track deadlines and next steps, and keep multiple matters moving at once. You are comfortable balancing tasks of varying urgency and complexity, staying on top of shifting priorities, and working well under pressure with tight deadlines.
- Ownership, Initiative, and Teamwork: You take ownership of your projects and follow through on their completion. You proactively anticipate, communicate, and work to independently resolve obstacles you encounter in your work. You possess a strong client- service orientation and ability to work well individually and as part of a team.
- Confidentiality: You must be able to adhere to Firm policies regarding the protection of confidential data and demonstrate sensitivity to (and good judgment in connection with) confidential attorney, personnel, and Firm matters.
- Physical Requirements: Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times.
