A Burlingame-based law firm is seeking a highly organized and detail-oriented Legal Assistant to support a Trusts & Estates team. This is a process-driven, administrative-focused role supporting a group of paralegals with document management, file organization, and day-to-day workflow coordination.
This position is ideal for someone who thrives in a structured environment, takes ownership of routine processes, and can work independently with strong attention to detail.
Key Responsibilities:
- Manage daily document flow, including scanning, organizing, and filing incoming mail and client documents
- Maintain and organize physical and electronic client files, including file creation and ongoing file management
- Prepare and process outgoing correspondence and document transmittals
- Finalize documents for signature, ensuring accuracy and completeness
- Track certified mail receipts and delivery confirmations
- Assemble exhibits and supporting documentation for legal filings, tax returns, and petitions
- Coordinate administrative filings, including lodging wills and recording deeds
- Prepare proofs of service and assist with post-recording document processing
- Support file audits, document organization, and records management projects
- Provide administrative support to a team of five paralegals, including remote team members
Qualifications:
- Minimum 1+ year of experience in a law firm environment required
- Strong administrative, filing, and document management experience
- Ability to manage recurring tasks independently with minimal supervision
- Excellent organizational skills and attention to detail
- Proficiency in Microsoft Office (Word, Outlook, Excel); Adobe Acrobat a plus
- Strong written and verbal communication skills
- Ability to follow established procedures and maintain consistency across tasks
- Reliable and detail-oriented with a strong follow-through mindset
- Comfortable handling structured, process-driven work on a daily basis
- Able to prioritize tasks and manage a consistent workflow independently
- Team-oriented with the ability to support multiple stakeholders
- Interested in developing experience within Trusts & Estates
- Ability to report onsite in Burlingame, CA 5 days/week
