Job Description
Construction Operations Manager
Luxury Builders Group | Jupiter, Florida | Full-Time, In-Office
Salary: $65,000–$75,000 per year + potential performance-based bonuses
Luxury Builders Group (LBG) is seeking an accomplished, highly organized, and solutions-oriented Construction Operations Manager to work directly with the CEO and contribute to the effective management and continued growth of the company. LBG is a Florida-licensed general contracting firm specializing in residential and commercial construction, remodeling, and construction management throughout Palm Beach County.
This role requires a professional who combines exceptional organizational skills, sound judgment, discretion, and a strong sense of accountability with the ability to operate independently and decisively. The ideal candidate anticipates challenges, exercises initiative, identifies and implements effective solutions, and consistently drives tasks and priorities to completion. With a commitment to excellence, continuous improvement, and operational efficiency, the successful candidate will help streamline processes, strengthen internal coordination, and ensure that business operations are executed with precision, professionalism, and minimal supervision.
What We’re Looking For
-Relevant Experience: Experience in construction administration, construction operations, project coordination, or office management within a general contracting or construction-related business.
-Strong Organizational Skills: Excellent follow-through and the ability to manage multiple priorities and deadlines without overlooking important details.
-Independent Judgment: The ability to make sound decisions, resolve routine issues independently, and recognize when a matter requires escalation.
-Problem-Solving Mindset: A proactive approach to challenges, with a focus on identifying solutions and taking appropriate action rather than simply reporting problems.
-Professional Communication: Excellent written and verbal communication skills, with the ability to communicate confidently and professionally with clients, subcontractors, vendors, architects, engineers, and municipal officials.
-Technical Proficiency: Proficiency in Microsoft Office and digital document management systems.
-Construction and Accounting Software: Experience with QuickBooks Online, construction management software, permitting processes, and construction contracts.
Key Responsibilities:
Construction Administration & Permitting
- Coordinate permit applications, submissions, revisions, inspections, and follow-ups with municipalities, HOAs, architects, engineers, clients, and subcontractors.
- Track permit status, deadlines, outstanding requirements, and next steps.
- Coordinate contracts, purchase orders, change orders, notices of commencement, product approvals, plans, and supporting documentation.
- Follow issues through to resolution rather than simply forwarding emails or waiting for someone else to act.
Subcontractor & Vendor Management
- Maintain complete subcontractor files, including W-9s, licenses, business tax receipts, certificates of insurance, and workers’ compensation documentation.
- Track expiration dates and resolve missing or expired documentation before it delays work.
- Coordinate vendor and subcontractor communications, documentation, pricing requests, and follow-ups.
Office Operations & Financial Administration
- Manage administrative workflows, inbox priorities, calendars, appointments, and follow-ups.
- Coordinate invoices, purchase orders, contracts, and supporting documentation with management and accounting.
- Assist with QuickBooks Online and Construction software processes.
- Maintain organized digital records and ensure company procedures are followed consistently.
Systems, Accountability & Continuous Improvement
- Take responsibility for assigned tasks from start to finish.
- Maintain clear trackers for deadlines, open issues, and outstanding decisions.
- Identify bottlenecks, recommend practical improvements, and help implement better procedures.
- Communicate problems early, along with proposed solutions.
- Provide concise weekly updates on completed work, upcoming deadlines, outstanding issues, and decisions requiring management approval.
- Help build the administrative systems needed to support a growing construction company.
What Success Looks Like
Within the first 3 months, the candidate should be able to manage office and construction-administration workflows independently, maintain reliable tracking systems, anticipate upcoming deadlines, and substantially reduce the owner's involvement in routine administrative matters.
Compensation and Benefits
-The position offers an annual salary of $65,000 to $75,000, depending on qualifications, experience, and demonstrated ability.
-The employee may be eligible for performance-based bonuses.
-Following one (1) year of continuous employment, the employee will begin accruing vacation at a rate of 6.66 hours per month of continuous employment, equivalent to approximately eighty (80) hours annually. After five (5) years of continuous employment, vacation accrues at a rate of 10 hours per month, equivalent to one hundred twenty (120) hours annually, in accordance with the Company’s Handbook.
-Following completion of the three-month introductory period, the employee will begin accruing PTO at a rate of 3.33 hours per month of continuous employment, equivalent to approximately forty (40) hours annually, in accordance with the Company’s Handbook.
-Following completion of the three-month introductory period, the employee will be eligible for the following six (6) paid holidays:
- New Year’s Day
- Memorial Day
- Independence Day
- Labor Day
- Thanksgiving Day
- Christmas Day
Holiday pay is provided in accordance with the Company’s Employee Handbook.
