We are seeking a dynamic and experienced Permanent Legal Office Assistant to join our team. This is a fantastic opportunity to be part of a high-performing legal firm where your contributions will be highly valued. This role requires a strong background in administrative support within a legal setting, excellent communication skills, and the ability to manage multiple tasks effectively. The successful candidate will have a minimum of 2 years of experience in a similar role and will be proficient in managing travel arrangements.
Responsibilities:
1. Provide comprehensive administrative support to our legal team including scheduling meetings, managing calendars, and coordinating travel arrangements.
2. Prepare, proofread, and edit legal documents and correspondence to ensure accuracy and completeness.
3. Maintain an organized and up-to-date filing system for all legal documents.
4. Handle confidential information with a high level of discretion and professionalism.
5. Conduct research as needed under the guidance of our legal team.
6. Assist with the preparation of court filings and track and manage case deadlines.
7. Liaise with clients, court personnel, and other law firms professionally and courteously.
8. Perform other administrative tasks as required such as data entry, photocopying, and arranging for courier services.
Qualifications:
1. A minimum of 2 years of experience as a Legal Office Assistant or in a similar role within the legal industry.
2. Proficiency in managing travel arrangements and calendar management.
3. Excellent written and verbal communication skills.
4. Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal research tools.
5. Knowledge of legal terminology and procedures.
6. High level of attention to detail and excellent organizational skills.
7. Ability to work independently and as part of a team.
8. Proven ability to handle multiple tasks and meet deadlines in a fast-paced environment.
9. Strong problem-solving skills and the ability to think critically.
10. Demonstrated ability to handle confidential information with discretion.
11. A paralegal certificate or relevant degree would be considered an asset.
