Job DescriptionDescription:

Facilities play a key role in coordinating and managing day-to-day reactive maintenance projects across Village Pet Care locations. This position serves as the primary support for urgent and short-cycle facility needs while acting as a secondary project lead on capital projects such as remodels, expansions, and major upgrades. The role requires strong organization, responsiveness, and comfort working in a fast-paced operational environment.


Reactive Maintenance (Primary Focus)

Coordinate and track reactive maintenance requests across multiple locations through Monday.com

Coordinate vendors and contractors for repair and maintenance work· Track purchase orders, timelines, costs, and completion status

Ensure timely communication with field teams on status, scheduling, and resolution

Review invoices and documentation to ensure accuracy and alignment with work performed


Capital Projects (Secondary Support Role)

Act as second-in-command on capital projects such as remodels, refreshes, and expansions

Support project schedules, documentation, budgets, and reporting

Assist with vendor coordination, site visits, and milestone tracking

Support project close-out documentation and punch lists

General Management

Maintain accurate project records, trackers, and shared documentation (Monday, SharePoint, Teams)

Flag risks, delays, or budget concerns to Facilities leadership

Support compliance documentation including permits, inspections, and safety requirements

Participate in site visits and travel to support maintenance or capital project needs (up to 25%)

Help identify opportunities to standardize maintenance processes and improve response times


Requirements:

Bachelor’s degree in Facilities Management, Construction Management, Operations, Business, or related field (or equivalent experience)

1–3 years of experience in facilities coordination, maintenance operations, construction support, or project coordination

Experience supporting reactive maintenance or work-order driven environments preferred

Demonstrated ability to provide exceptional internal client service by partnering closely with Operations leaders and cross-functional teams to prioritize and deliver facilities solutions.

Strong organizational skills and ability to manage multiple urgent priorities

Comfortable working with vendors, contractors, and field leadership

Calm, responsive, and solutions-oriented under pressure

Strong follow-through and attention to detail

Ability to balance reactive work with longer-term project support

Eagerness to learn and grow within facilities and capital project management


Physical & Environmental Requirements

Remote, phone-based work environment with frequent vendor and field management interactions

Ability to sit or stand for extended periods while performing job duties

Reliable high-speed internet and dependable phone connection required to support call quality and system access

Work schedule aligned to business needs and supported regions

May include early mornings, evenings, weekends, or holidays based on emergent needs
