We are seeking an experienced Executive Assistant with a strong background in commercial real estate transactions to join our team. The ideal candidate will bring 3–5 years of paralegal or executive support experience in commercial real estate law, working with attorneys and senior brokers on acquisitions, dispositions, leasing, and financing matters. This role demands exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, deadline-driven environment.
Key Responsibilities
- Draft, review, and manage real estate documents, including purchase and sale agreements, leases, amendments, and closing documents.
- Coordinate and oversee all aspects of real estate transactions from initiation to closing.
- Conduct title and survey reviews; identify issues and facilitate resolution.
- Support due diligence by reviewing leases, contracts, and corporate records.
- Maintain organized digital/physical files, tracking critical deadlines and deliverables.
- Partner with senior brokers and staff on daily transaction tasks, including scheduling, client communication, and document preparation.
- Liaise with attorneys, clients, lenders, title companies, and other stakeholders to ensure smooth transactions.
- Manage email correspondence, calendars, and scheduling for the broker team.
- Ensure compliance with company policies, real estate regulations, and legal standards.
Qualifications
Education & Experience:
- Bachelor’s degree or equivalent required.
- Minimum of 3–5 years of paralegal or executive support experience in commercial real estate law.
Licenses/Certifications:
- Paralegal certification preferred.
Skills:
- In-depth knowledge of real estate transaction processes, title, and survey review.
- Exceptional organizational, time-management, and prioritization skills.
- Ability to work independently while supporting a collaborative team environment.
- Strong written and verbal communication skills with proven stakeholder management experience.
- High attention to detail and ability to handle confidential information with discretion.
Technical Proficiency:
- Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Document management systems and general computer proficiency.
