Assistant Director of Recreation Job Description and Duties

Job Description

The Assistant Director of Recreation will assist the Director of Recreation with the following tasks:

  • The Assistant Director of Recreation assists the Director in managing and overseeing recreation programs, facilities, and staff, and aids in planning, organizing, and supervising recreational activities, events, and programs. Assisting in planning, developing, and implementing a variety of recreational programs and activities.
  • The Assistant Director of Recreation will identify community needs and interests to develop relevant and engaging programs, maintain program budgets, ensuring programs adhere to safety guidelines and policies, and promote and publicize recreation programs and activities.
  • The Assistant Director of Recreation is responsible for supervising and training recreation staff and volunteers, assisting with recruitment, providing guidance and support to staff and volunteers, assisting with the management and maintenance of recreational facilities, beaches, and equipment, responding to public inquiries and complaints regarding programs, facilities, and policies.
  • The Assistant Director of Recreation is also responsible for providing excellent customer service to participants and community members

The Assistant Director of Recreations will be required to assist the Director in other areas as needed and serve as the Director in their absence.

Ø Strong organizational, communication, and interpersonal skills.

Ø Ability to work independently and as part of a team.

Ø Knowledge of recreation program development and management principles.

Ø Ability to supervise and train staff and volunteers

Ø Proficiency in Microsoft Office Suite and other relevant software.

Ø Knowledge of safety regulations and procedures.

Ø Ability to work evenings and weekends.

Ø Ability to lift and move equipment and materials.

Job Duties

· Recreation Event Order’s (REOs)

Ø The Assistant Director of Recreation will be responsible for the completion and distribution of all Recreation Event Orders (REOs). REOs will be completed at a minimum of 2 weeks prior to the event. REOs will be made for all recreation events that require either a moneybag or assistance from other departments and Chalet Rentals. The Assistant Director of Recreation will be sure to include all relevant information needed for the success of the event. This includes but is not limited to table/chair set-up, date and location of event, description of the event, menu if applicable, entertainment description, estimated number of attendees, maintenance assistance, security assistance, accounting assistance, etc.,

Ø A REO acts as a contract and a reference document for all event stakeholders, ensuring clarity and consistency throughout the planning and execution process.

Ø It typically includes event information (name, type, date, time), client information, event details, food and beverage options (menu, dietary requests, service times), setup and equipment, staffing requirements, timing and logistics, and special instructions.

Ø By providing a comprehensive overview of the event, REOs help prevent misunderstandings and ensure that all aspects of the event are executed as planned.

· Inventory

Ø The Assistant Director of Recreation will be responsible for tracking the inventory of all the supplies necessary to maintain efficiency in the department. This includes but is not limited to all food levels, consumables, arts/crafts supplies, decorations, laundry, kitchen equipment, sports equipment, facilities, equipment, supplies, and assets, including playgrounds, fields, courts, maintenance equipment, and any program-specific materials etc.

Ø The Assistant Director of Recreation will maintain accurate records of inventory, including tracking what goes in and out, and ensuring proper stock levels; conduct physical counts and updating records accordingly.

Ø The Assistant Director of Recreation will monitor inventory levels, identify and resolve discrepancies between physical inventory and recorded data and coordinate with the Director of Recreation and other departments to ensure smooth inventory flow.

· Entertainment

Ø The Assistant Director of Recreation will be responsible for securing entertainment for as many recreation events as the yearly budget allocates. Entertainment can include but is not limited to wildlife shows, musicians, illusionists, etc.,

Ø The Assistant Director of Recreation will book entertainment at least 3 months prior to the event and build relationships within the entertainment industry and community.
