Service Administrator- Kearny Mesa Ford/Kia

Non-Exempt

Job Summary:

The Service Administrator will provide essential administrative support to the service department, ensuring efficient operations and accurate record-keeping. This role involves managing service documentation, coordinating schedules, and supporting service personnel.

Essential Functions:

  • Review and process repair orders for accuracy, ensuring proper accounting, coding, dollar amounts, and percentage markups.
  • Arrange loaner vehicles for customers, ensuring a seamless experience.
  • Flag all warranty repair orders in the Point of Sale (POS) system (WarrCloud) for efficient tracking and management.
  • Process and organize vehicle service contracts while balancing the service schedule.
  • Oversee the prepaid maintenance process and ensure accurate balancing.
  • Manage adjustments and balance processes for dealership covered maintenance.
  • Submit and reconcile all credit card payments for accuracy.
  • Complete and submit manufacturer document requests promptly.
  • Thoroughly review all Internal Service Provided (ISP) charges for proper processing and obtain management approval.
  • Answer and route inbound phone calls to the appropriate departments effectively.
  • Organize and file service paperwork to maintain an efficient record-keeping system.
  • Adhere to company policies, procedures, and industry regulations.
  • Maintain a clean and organized workspace to support an efficient and professional service environment.
  • Maintain satisfactory attendance.
  • Perform other related duties as assigned.

Qualifications:

Minimum Qualifications:

  • One year of experience in a clerical or administrative role.
  • Ability to lift up to 15 pounds.
  • Ability to perform all essential functions of the job description.

Preferred Qualifications:

  • Proficient in Microsoft Office Suite and dealership management software.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to identify issues and implement solutions in a fast-paced environment.
  • High level of accuracy in data entry and record-keeping to ensure compliance and efficiency.
  • Ability to work collaboratively within a team and contribute to a positive work environment.

Physical Requirements:

  • Frequently stands, walks, sits; uses hands; frequently reaches with hands and arms; frequently talks and hears.
  • Occasionally climbs or balances; occasionally stoops, kneels, crouches, squats or crawls; occasionally lifts up to 15 pounds.
  • Prolonged periods sitting at a desk and working on a computer.
