SUMMARY

The Enterprise Portfolio Operations Intern supports AANA’s Enterprise Project Management Office (EPMO) in maintaining the integrity, accuracy, and governance cadence of the organization’s Portfolio of Work in Planview AdaptiveWork.

This role focuses on portfolio data quality, update compliance monitoring, review and updated of training materials and operational support for strategic reporting. The intern will gain exposure to portfolio governance, the Objectives and Key Results (OKR) framework & alignment, and executive-level reporting processes.

The AANA internship program is a professional opportunity guided by the AANA Values, experiential learning, and relationship building. This program spans on average 13 weeks, starting in May/June and concluding in August. Flexibility is available based on candidate(s) summer classes, if enrolled, and AANA Annual Congress. Interns will receive pay based on academic and prior experience ranging from $18 - $20 per hour. Typical working hours will be Monday - Thursday and equal about 20 hours a week.

  • This position is considered Hybrid with an expectation to be in the Rosemont, IL office 2-3 times a week.


MAJOR DUTIES & RESPONSIBILITIES

Portfolio Data Monitoring

Conduct regular auditing and work with stakeholders to ensure accuracy and timeliness of reporting:

  • Monitor OKR’s, ensure milestones (contributions) are accurate and timely
  • Identify data reporting gaps on work schedules and work with stakeholders to correct anomalies
  • Assist in keeping work item ‘meta data’ up to date by identifying missing or poorly defined data and working with stakeholders to correct/enhance

Reporting & Quality Assurance

  • Work with EPMO Project Manager Lead to identify weekly auditing reports
  • Modify existing compliance reports based on feedback and lessons learned
  • Assist with PowerBI dashboard data validation: confirm data accuracy, identify data discrepancies, and assist with documentation and visual refinement under supervision.
  • Explore and evaluate out-of-the-box (OOTB) Planview reports to assess their alignment with AANA’s portfolio governance and reporting needs, and identify opportunities for refinement or standardization.

Process Documentation & Improvement

  • Review existing documentation and identify areas of improvement; draft updated documentation and supporting work flows to correct
  • Identify manual processes that may be candidates for automation
  • Provide end-of-summer recommendations to improve efficiency and compliance

EXPERIENCE & SKILLS

EXPERIENCE:

  • 1+ years' experience in an office setting
  • Experience in working both with guidance and independently

SKILLS:

  • Strong attention to detail and analytical mindset; motivated to learn, ask questions and be independently productive
  • Comfortable working in structured systems and spreadsheets
  • Interest in project management, operations, strategy, or business analytics
  • Ability to manage recurring tasks with consistency and accuracy
  • Good verbal and written communication skills.
  • Willing participation in working groups and internal functions.
  • Ability to maintain confidentiality of sensitive information.
  • Proficient with Microsoft Office Suite products (Word, Excel, PowerPoint, Outlook)
  • Power BI experience a plus

EDUCATION/CERTIFICATIONS/LICENSES:

  • Current undergraduate student pursuing a degree in Project Management, Implementation, Data Sciences, Business Analytics, or related field.

Physical Requirements:

Performs primarily sedentary work with limited physical exertion and occasional lifting of up to 10 lbs. Must be capable of climbing/descending stairs in emergency situation. Reasonable accommodations may be made to successfully perform the essential functions of this job. Must be able to operate routine office equipment. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours whenever required or requested by management. Must be capable of regular, reliable and timely attendance.

Working Conditions:

Must be able to routinely perform work indoors in climate-controlled shared work area with minimal noise.

Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team.
