Position Details

  • Competitive hourly wage
  • Full-time: 40 hours per week
  • Nonexempt: overtime pay after 40 hours/week
  • Location: On site at our Field Support Office in Wamego, Kansas
  • Schedule: Monday-Friday 8-5

Purpose:

Provide dependable administrative, reception, and accounting support to help the Field Support Office operate efficiently. This role serves as a professional first point of contact, maintains organized office services and records, and assists the Accounting team with accurate, timely processing and documentation.

Responsibilities:

Administrative and Office Support

  • Welcome visitors, answer and direct calls, and provide professional front-desk coverage.
  • Maintain a clean, organized reception area, front entry, shared work areas, and mail room.
  • Receive, open, date-stamp, sort, document, and distribute incoming mail; prepare, meter, and bundle outgoing mail.
  • Coordinate office supplies, envelopes, water, ice, and other routine office needs.
  • Complete copying, printing, binding, scanning, filing, and document-distribution requests.
  • Update seasonal front-window displays and assist with general office projects.
  • Protect confidential company, employee, customer, and financial information.

Accounting Support

  • Assist Accounts Payable with invoice entry, document matching, approval follow-up, filing, and scanning.
  • Assist Accounts Receivable with customer record maintenance, invoicing customers, recording payments, and verifying and mailing customer invoices and statements.
  • Support Wholegoods Sales Accounting and other accounting functions with data entry, document review and scanning.
  • Maintain complete and orderly electronic and paper accounting records using established naming, retention, and filing procedures.
  • Prepare routine spreadsheets and reports under the direction of Accounting staff.

Company and Team Support

  • Communicate courteously and effectively with co-workers and visitors.
  • Prioritize assigned work, meet deadlines, and provide status updates when needed.
  • Provide backup support for other administrative and accounting functions and perform related duties as assigned.
  • Special projects as assigned.

Requirements:

  • High school diploma or equivalent required; experience in accounting or bookkeeping helpful.
  • Prior office, administrative, customer-service, or accounting-support experience preferred.
  • Working knowledge of Microsoft Outlook, Word, and Excel;
  • Accurate data-entry, basic math, proofreading, filing, and recordkeeping skills.
  • Strong organization, attention to detail, follow-through, and ability to manage multiple priorities.
  • Professional communication skills and sound judgment when handling confidential information.
