About the Role:
The Project Coordinator provides essential support to project teams, with a focus on owner billing, subcontractor payment processing, compliance reporting, and accurate project documentation. This role ensures the financial integrity of projects through detailed analysis, timely reporting, and strong coordination with internal and external stakeholders.


Key Responsibilities:


  • Responsible for coordinating necessary meetings and participants including: Project Set-up and Project Kick-off meetings.
  • Assign job number in Vista; update jobs in progress list as projects are assigned.
  • Setup project files on shared drive.
  • Conduct Project Setup steps in Vista & project site for new projects, i.e., create project, contract setup, phase setup, interface with job cost.
  • Prepare subcontracts/purchase orders, distribute for signature and ensure all contract documents are returned. Coordinate language modifications with Vice President of Risk Management. Log and attach to record in Vista for compliance tracking.
  • Generate subcontractor/supplier list.
  • Request, collect and communicate W-9 setup for new vendors
  • Create, compile, distribute, and Owner monthly pay applications.
  • Review compliance each week and follow up with vendors until project compliance is met for timely payments.
  • Create, maintain, distribute for signature and interface: Owner & potential change orders, internal change orders, subcontractor change orders, and purchase order change orders.
  • Manages lifecycle of close-out log and vista close out compliance, including: closing of all open subcontracts & purchase orders, closing of all open/pending change orders, gathering of all vendor close out documents, final submission paperwork to Owner, tracking final billing through final payment from the Owner, and downloading all project emails to shared drive.
  • Responsible for scheduling internal close-out/post-mortem meetings with project team.
  • Prepare and submit Owner compliance reports as required, such as MBE/WBE and involvement reports.
  • Ensure all project documentation is filed and folder structures are appropriately maintained.
  • Other duties as assigned.


Qualifications/Experience:

  • Three + years administrative experience required; construction experience preferred.
  • Demonstrated understanding of SOV & Cost Book Maintenance
  • High level of communication skills.
  • Effective listener with ability to understand needs of team members.

  • Experience with Vista preferred, but not required.

Physical Demands:

- Work is primarily performed in an office setting
- May occasionally lift/move up to 20 pounds
