Real Estate Office Director of Hospitality


We’re searching for a diligent Real Estate Brokerage - Director of Hospitality. You must be driven and a dedicated professional to join our growing office. You will be primarily responsible for leading the first-impression division and ensuring guests and callers experience warm and friendly service. Applicants should be extremely thorough, possess great interpersonal skills, and have basic knowledge of answering phones, office presentations, filing, and overall assistant duties. Compensation:

$19 - $21 hourly

Responsibilities:

First Impressions:

  • Smile! Be positive, energetic, and upbeat!
  • Maintain a high-minded, positive, “It’s my pleasure” attitude
  • Answer incoming phone calls and courteously welcome office guests
  • Follow client/customer calls in the protocol in Google Drive
  • Coordinate conference room usage
  • Keep reception/conference areas neat and presentable
  • Keep the coffee/lunch area neat and stocked. To include taking out the trash, doing dishes, wiping counter areas, and vacuuming
  • Keep common workspaces neat
  • Coordinate lunchtimes with the Director of Agent Services so the front desk is covered at all times


Information:

  • Postmark and send outgoing mail daily
  • Audit files daily; new uploads should be audited on the same day
  • Check office email hourly and respond/distribute accordingly
  • Distribute incoming mail/faxes, agent contracts, and earnest within 1 hour of receipt
  • Manage the office touch program in Google Drive
  • Handle the agent onboarding checklist and send out reminders as needed
  • Create and send special occasion agent cards (b-day, congrats, new baby, get well, sympathy, etc.)
  • Remove departing agents from the phone system and mailroom within 24 hours of departing
  • Videography and video editing (not required)
  • Monitor agent mailboxes and emails if they need to be emptied
  • Clean out vendor information and flyers weekly
  • Generate agent office information/updates email at 5 pm daily or as needed
  • Troubleshoot and resolve issues with the phone system within 1 hour
  • Act as office liaison to the title, mortgage, inspection, and home warranty companies
  • Distribute agent mail and office billings
  • Keep form bins stocked and notify agents of new forms


Supplies:

  • Maintain office supplies and inventory, and submit orders in a timely manner
  • Keep all copiers, fax machines, and printers stocked with paper
  • Maintain coffee and beverage supply


Professional Standards:

  • Attend all biweekly staff meetings.
  • Arrive at the office promptly at 8:30 A.M. and leave when the office closes at 5:00 P.M. Monday - Friday.
  • Dress in a professional manner at all times (business casual)
  • Compile and distribute weekly/monthly reports and communicate key results to the rest of the team to ensure company goals are being met
  • Complete paperwork for all real estate transactions in a timely manner to ensure a deal is closed as quickly as possible
  • Notify transaction participants when a deadline is approaching
  • Assist the real estate team in facilitating local events to foster connections with people in the neighborhood

Qualifications:

  • Excellent written and verbal communication skills
  • Candidates are required to have a high school diploma or a GED
  • Has knowledge of Microsoft Office and customer relationship management software
