The Administrative Assistant/Receptionist plays a crucial role in supporting a large team by managing various front-desk and administrative tasks. This position ensures smooth office operations through effective scheduling, customer service, and document management, while also coordinating meetings and maintaining organized records. Reporting to the Department Head, the role occasionally requires travel and proficiency with standard office and specialized scheduling software.

Responsibilities

  • Perform reception duties and greet visitors professionally
  • Manage scheduling and coordinate meetings for the team
  • Handle data entry and maintain accurate records
  • Provide excellent customer service and manage inbound phone calls
  • Handle mail management and document filing efficiently
  • Oversee office supply inventory and procurement
  • Assist with record keeping and administrative support tasks

Preferred Qualifications

  • 3+ years of experience in administrative support
  • High school diploma or equivalent
  • Proficient with Microsoft Office Suite and data entry
  • Strong customer service and telephone etiquette skills
  • Experience with scheduling and organizing
  • Excellent communication and multitasking abilities
  • Problem-solving skills and attention to detail
