Legal Secretary | Location: Washington, DC

About the Opportunity

A prestigious Am Law 100 law firm is seeking an experienced Legal Secretary to join its Washington, DC office. This role supports a team of attorneys, professionals, and/or paralegals and is well-suited for a polished legal support professional who thrives in a sophisticated, fast-paced law firm environment.

Key Responsibilities

  • Prepare accurate, properly formatted correspondence, memoranda, and legal documents from handwritten drafts and transcription software
  • Prepare court filings, government documentation, and/or closing materials based on assigned practice areas
  • Open new matters, run conflict checks, prepare new case reports, and submit check requests
  • Enter daily time and assist with client billing, including reviewing and editing proformas and finalizing invoices
  • Organize, scan, copy, and file documents in both paper files and document management systems
  • Schedule hearings, meetings, conference rooms, catering, and coordinate attorney calendars
  • Maintain multiple calendars and proactively track deadlines, providing timely reminders
  • Answer phones, route calls, and take detailed messages
  • Coordinate domestic and international travel arrangements
  • Process expense reimbursements and vendor invoices
  • Provide coverage for secretarial absences and assist with overflow work as needed
  • Maintain client lists, contact databases, and other electronic records

Qualifications

Experience

  • Minimum 5+ years of legal secretarial experience in a law firm environment
  • At least 3+ years supporting billing attorneys
  • Experience supporting attorneys in a relevant practice area preferred

Skills & Technical Proficiency

  • Strong proficiency in Microsoft Office
  • Experience with iManage, Kofax Power PDF, Adobe Acrobat, Workshare Compare, and legal time & billing systems
  • Elite/3E experience preferred, but not required
  • Typing speed of 60+ WPM with high accuracy
  • Strong attention to detail and excellent organizational skills
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Team-oriented with flexibility to work overtime during peak periods

Education

  • High school diploma or equivalent required
  • College degree a plus

Compensation

  • Salary Range: $70,000 – $105,000 annually
  • Compensation is commensurate with experience, education, and overall qualifications
