POSITION TITLE: Fleet and Maintenance Manager


REPORTS TO: Director of Operations


DIRECT REPORTS: Janitorial Staff


FLSA STATUS: Non-Exempt; regular full-time; employment-at-will position.


SCHEDULE: 40 hours per week, Monday–Friday; occasional flexibility required based on project or fleet needs.


PURPOSE: The Facilities and Fleet Manager is responsible for the comprehensive maintenance and oversight of Kanza’s physical facilities and vehicle fleet. This hands-on leadership role includes performing and coordinating preventative maintenance and repairs, supervising janitorial staff, managing fleet operations and vehicle maintenance, and ensuring regulatory compliance and workplace safety across all Kanza locations. The Facilities and Fleet Manager helps ensure a safe, functional, and efficient environment for staff, clients, and visitors.


ESSENTIAL JOB FUNCTIONS:

  1. Facilities Management
  2. Perform and coordinate preventative maintenance and repairs of all Kanza facilities (interior and exterior), utilizing contractors as needed.
  3. Oversee and maintain systems including HVAC, plumbing, lighting, and electrical to ensure proper functioning.
  4. Supervise janitorial staff, assign tasks, ensure coverage, and provide training and feedback.
  5. Maintain outdoor areas including lawn and garden care, snow removal, and parking lot upkeep.
  6. Manage inventory of maintenance supplies and ensure readiness for emergencies.
  7. Ensure compliance with all safety, health, and building regulations.
  8. Respond to facility-related emergencies (e.g., leaks, HVAC failure, power outages).
  9. Maintain detailed records of inspections, work orders, and maintenance schedules.
  10. Assist with furniture/equipment setup and breakdown for meetings or events.


Fleet Management

  1. Oversee scheduling, use, and maintenance of all agency vehicles.
  2. Perform or coordinate routine maintenance and minor mechanical repairs (oil changes, brake inspections, tire service, etc.).
  3. Arrange for specialized repairs and inspections with external providers as needed.
  4. Maintain accurate vehicle records including maintenance logs, inspections, assignments, and mileage.
  5. Manage the Wex fleet portal and coordinate driver assignments and fuel usage.
  6. Respond to vehicle emergencies or breakdowns and arrange roadside support.
  7. Train drivers on safe vehicle operation; ensure licensing/certifications are current.
  8. Monitor fleet utilization, analyze maintenance costs, and propose efficiency improvements.
  9. Ensure vehicles are stocked with necessary emergency equipment and supplies.


Other Duties

  1. Conduct safety audits and support emergency preparedness planning.
  2. Perform deep cleaning and seasonal maintenance tasks as needed.
  3. Support additional maintenance and janitorial tasks during staff absences or busy periods.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  1. High school diploma or equivalent; vocational training in construction, maintenance, or automotive repair preferred.
  2. Demonstrated experience in facility maintenance and fleet operations.
  3. Strong mechanical skills and ability to diagnose and perform vehicle and facility repairs.
  4. Supervisory experience and effective team leadership.
  5. Working knowledge of OSHA safety regulations and basic building codes.
  6. Familiarity with facility and fleet management software/systems.
  7. Excellent organizational, time management, and communication skills.
  8. Ability to lift/move items up to 50 lbs and work in varied environments (indoor/outdoor).
  9. Valid driver’s license and clean driving record.
  10. Proficiency in English.


PHYSICAL DEMANDS:

  1. Standing, walking, climbing, and lifting for prolonged periods.
  2. Performing physical tasks such as bending, kneeling, and using tools.
  3. Working in outdoor weather conditions and possibly at heights or in confined spaces.
  4. Ability to lift 50 pounds in any direction.


WORKING ENVIRONMENT: Work is performed in a combination of office, garage, and outdoor environments. Regular travel to multiple worksites, including other offices, residences, and community locations, is required. Exposure to low socio-economic homes and aggressive situations may occur. May encounter exposure to noise, chemicals, and weather.

SALARY RANGE FOR THIS POSITION: Salary commensurate with experience and Kanza MHGC salary structure.


PRIMARY LOCATION: Hiawatha Main Office, with regular travel to all Kanza sites.
