Primary Purpose of Position
The Purchasing Supervisor is responsible for providing the Sonnenalp Hotel with support of all purchased goods and equipment. The position is responsible for receiving, checking-in all products and verifying the quality and date of product orders. Responsible for rotation of new products, filling and delivering requisitions and organizing and maintaining the floor and purchasing areas. The position oversees the team of Purchasing Clerks and will be expected learn all manager duties and fill-in in the absence of the Purchasing Manager.
Wage: $22.00 - $26.00
Essential Duties and Responsibilities
- Supervises team of Purchasing Clerks.
- Maintain and organize floor, purchasing area, loading dock, housekeeping delivery area.
- Ensure S.O.P. daily check-lists are being followed and filled out completely, daily.
- Responsible for all receiving of product and cross checking against invoice.
- Assist the Manager in the daily orders that need to be placed.
- Assist the Manger in the monthly inventory check-list; printing forms, distribution, counting, receiving inventory forms and entering them into Food Trak.
- Assist the Manager with inputting new items into Food Trak.
- Assist the Manager with updating order templates, inventory templates, and transfers.
- Process invoices, scan into computer and organize by vendor.
- Verify that products on invoice are delivered and make adjustments to invoice accordingly. Follow-up immediately with driver, rep or manager. Make notes on the invoices for all communications in relation to the problem and touch base with Purchasing Manager.
- Verify quality of products and make adjustments to invoice accordingly, take pictures of the poor quality items and e-mail the sales rep.
- Open cases, occasionally taste to check freshness.
- Assist with the training of new staff members.
- Double check all requisitions and invoices.
- Notify manager of any problems with deliveries
- Rotate all products according to FIFO standards.
- Ensure products are never placed on floors, but rather stored properly on shelves
- When checking packages delivered via special transport (i.e. RAC, DAC) verify all packages are delivered before signing packing slip (record all packages on our daily calendar of deliveries).
- When filing delivery requisitions, go by requested schedule, and obtain approval from manager prior to making any variation.
- Notify manager of any back orders, any special delivery requests or shorts, substitutes, miss-picks, etc.
- Ensure all requisitions are filled with name of house, name of outlet, signature, date, and time to be delivered
- Ensure that all items removed from purchasing without a requisition are recorded on the sheet on the cage entrance or in Food Trak.
- Clean up all purchasing areas at completion of shift; your work table, your work desk, entrance to purchasing—this means dusting, sweeping, and mopping.
- Assist and ensure all end of month manual transfers are calculated and completed before the 6th of the month.
- Assist outlets with possible substitutions for out of stock items.
- Fill backorders on a daily basis as the products arrive.
- Assist with updating order guides as new products are requested.
- Assist new outlet managers and chefs with creating order guides based off of menu and usage.
Education/Experience
- High School Diploma or equivalent (GED) required.
- Bachelor’s Degree from an accredited College or University preferred.
- 1 year experience in a purchasing department required.
- Leadership experience preferred.
Special Skills/Equipment
- Ability to add, subtract, convert ounces to pounds or pounds to ounces with use of a scale.
- Experience with Food Trak or similar program preferred.
- High level of attention to detail and organization
- Strong focus on safety
Essential Physical Requirements
- Very physically demanding position, requiring a high level of physical fitness.
- Ability to pull carries, or lift heavy objects (up to 50 lbs.) frequently.
- Ability to walk and/or stand for duration of shift
- Frequent bending, kneeling, reaching, stretching, and pulling.
