Assistant Project Manager- for HVAC COMMERCIAL BUSINESS

M-F 8:00 AM - 5:00 PM. PAY IS DOE. FULL BENEFITS PACKAGES AND BONUSES.

They should be able to work closely with project managers to create comprehensive action plans concerning resources, site meetings, budgets, and timeframes for projects.

Job Duties and Responsibilities-
1. Provide quality assistance to the Project Managers and own all administrative aspects of the project lifecycle. From the initiation to the closing of the project.
2. Must be able to work under pressure and meet deadlines while maintaining a positive attitude and providing exemplary customer service.
3. Work with the Account Managers, Accounting Departments, Projects Managers,
Engineers, Subcontractors, and company resources to ensure the projects are executed on time and are financially successful.
4. Manage project-related paperwork and procedures by ensuring all necessary steps and requests are properly filed and current—project Permits, Insurance requirements, certified payrolls, NTO, NNP, and other reports.
5. Maintain consistent and clear communication between all parties of the project teams, including customers, contractors, vendors, and other SBS Departments.
6. Utilize company project management tools to document everything related to projects
and keep track of project deadlines and manage task lists for all projects.
7. Maintain compliance with all company policies and procedures.
8. Projects Materials Management: receive, prepare, and distribute packages, schedule deliveries, manage parking, order supplies and materials, and execute other office administrative support as needed.
9. Generate, monitor, and update project tasks, milestones, and timelines; identify deliverables and task owners.
10. Facilitate meeting agendas, and meeting minutes and maintain/update calendar invitations for operations meetings.
12. Proactively identify any potential issues during the project life cycle that may arise, and promptly professionally resolve these issues, assuming responsibility, communicating to the Construction Division team, and mobilizing appropriate parties.
13. Perform project field tasks, coordination, site visits, construction meetings, AND support the field technicians to complete their tasks when needed.
14. Successfully close out projects.

Minimum Required Skills, Knowledge, and Abilities-
• Understanding of general contracting and the life cycle of a project.
• 1+ years of experience as a project administrator within the commercial construction industry IS A PLUS.
• Preferred: 2-5 years of experience working in Controls, Low Voltage Trades, Fire alarms, CCTV, HVAC, or Electrical in the commercial construction industry.
• Ability to read plans, wiring diagrams, and specifications.
• Excellent written and verbal communication skills, with the ability to relay highly detailed information between internal and external project partners.
• Detail-oriented approach with demonstrated skills in organizing and evaluating information.
• Ability to read and interpret documents such as safety rules, operating, and maintenance instructions, and procedure manuals.
• Ability to write routine reports and correspondence.

SKILLS-

Google Suite, Microsoft Office products, Apple devices, and utilizing office machines (copier, mail machine, fax machine).
• Proficiency with Smartsheet or project management software is a plus.
