Responsible for meticulously organizing and managing all client data and legal documents obtained during litigation proceedings. Requires exceptional organizational skills and strong communication abilities to interact effectively with clients, categorize and arrange files, and correctly store information in the Case Management System (Litify) and the Server. Proficiency in adhering to firm protocols for file naming and document storage.
Maintain continuous dialogue with supervising associate attorney, clients, and team members to ensure prompt completion of written discovery and depositions, schedule deadlines, arrange mediations, adhere to firm policies, set trial dates, and promptly obtain all case-specific documents during the litigation phase. Accurately update and preserve case information in the Case Management System (Litify) and on the Server.

$70,000
Responsibilities:
- Communicate effectively with client(s) during the transition from prelitigation to litigation with empathy and patience
- Client communication once a month
- Enter all client information in Litify and all Roles pursuant to firm processes/procedures
- Prepare trial documents as well as send trial letters
- Ensure all information is updated in Litify on a daily basis as information is acquired, including updating all tasks and noting all client conversations/calls, and communication with other parties/entities
- Manage service email, calendar, all deadlines, download all files to correct folders, ensure supervising attorney is apprised of all deadlines and events
- Printing and preparing courtesy copies and attorney binders
- Properly file all petitions/complaints, obtain citations, and ensure timely service of all defendants
- File and serve motions and calendar all deadlines for responses and replies; comply with all hearing preparation policies/procedures for the supervising attorney
- Serve and calendar all deposition notices, draft NODs, schedule court reporter, confirm location, and depositions
- Serve and calendar all mediation notices, draft NOMs, schedule Mediator, confirm location, and scan, save, and sort all case-specific documents with strict adherence to firm policies/procedures for naming and saving documents in Litify and the Server
- Register for all hearings
- File Notice of settlements and dismissals
- Draft discovery for supervising attorney’s review; serve discovery upon all parties after approval by supervising attorney and calendar all deadlines (when needed)
- Provide excellent service to client(s) through impeccable client communication skills, proper adherence to the department processes, and timely completion of litigation tasks
- Observe all confidentiality safeguards regarding the decedent’s/client’s private healthcare information
- Comply with all firm policies and standards regarding ethical and professional conduct in the workplace
- Highly proficient at using the Case Management System (Litify) when entering client/case information and updating new information regarding all tasks and communication pertaining to each client/case
- Maintain a good working relationship with all members of the department and other departments
- Report to all meetings and training on time and prepared to engage (with the camera on via video conferences like Zoom or Litify
- Timely response to all Interoffice Instant Messages (Slack) and all email communications
Qualifications:
- A minimum of 5 years of experience
- A 2-year degree and Paralegal certification are highly recommended, but a Bachelor’s degree is preferred. A high school diploma is required
- Proficient in word processing, spreadsheet presentation, and case management software
- Adhere to the dress code, appearance is neat and clean
- Maintain client confidentiality
- Report to work on time as scheduled
- Maintain regulatory requirements, including all federal, state, and local regulations regarding employee supervision and client interactions
- Represent the firm in a positive and professional manner at all times
- Comply with all organizational policies and standards regarding ethical business practices
- Communicate the mission and core values of the firm
- Participate in performance improvement and continuous quality improvement activities
- Attend regular staff meetings and training
