Position Summary:

The Database & Reporting Manager serves as the organizations central owner of patron data, ticketing/CRM reporting, and data governance. This role ensures our database is accurate and actionable, supports leadership with reliable dashboards and insights, and collaborates across departments to establish strong processes, policies, and reporting standards. The Manager will oversee reporting requests, data cleanup initiatives, system setup, and future data migration projects across Tessitura or a similar ticketing/CRM platform.

This role will help our data tell stories that are actionable and support key decision making at the highest level strategically.


Key Responsibilities:

Database Administration & Data Hygiene

  • Own overall health of the patron database: data integrity, standardization, and deduplication.
  • Manage patron record best practices, householding logic, email/phone/address standards, and segmentation rules.
  • Maintain and improve system structures including comp reasons, campaign codes, pricing structures, accounts and event metadata to support accurate reporting.
  • Establish and document data governance policies and training materials for staff.

Reporting, Analytics & Executive Insights

  • Serve as the lead for internal reporting requests across departments; manage intake, prioritization, and delivery timelines.
  • Build and maintain standardized reporting including sales performance, financial data, subscriptions, comps/discounts, attendance, fundraising performance, and campaign ROI.
  • Create dashboards and repeatable KPI reporting for executive leadership.
  • Ensure reporting definitions are consistent across the organization and documented (single source of truth).

Systems, Integrations & Process Development

  • Partner with the Box Office, Development, Financial, and Marketing teams to design and refine workflows for ticketing, fundraising, memberships, exchanges, promo codes, and comps.
  • Support integrations between ticketing platform and marketing/email, accounting, web, scanners, and other tools.
  • Diagnose reporting anomalies and ensure reconciliation between ticketing data and financial reporting outputs.
  • Other duties as assigned.

Qualifications

  • 1-5 years database management, analytics, or reporting (performing arts preferred).
  • Demonstrated experience with Tessitura or comparable ticketing/CRM system.
  • Strong reporting and data analysis skills; comfortable with complex datasets.
  • Advanced Excel proficiency including pivot tables; SQL and BI tools (Power BI/Tableau/Domo or similar) preferred.
  • Excellent communication and ability to collaborate cross-functionally.
  • Proven ability to create processes, enforce standards, and drive adoption.
  • High attention to detail and ability to manage confidential data.

Preferred / Bonus Skills

  • Tessitura Analytics, Extracts, List Manager experience
  • Understanding of subscription models and ticket pricing strategy
  • Familiarity with donor CRM concepts
  • Experience with segmentation strategy and lifecycle reporting
  • Project management experience (Asana, Clickup, Monday, Airtable, etc.)
  • Exceptional written and verbal communication skills; able to explain complex concepts in lay terms to diverse audiences.
  • Highly collaborative and independentable to identify risks and opportunities while they are yet incipient rather than taking direction on all priorities
