POSITION OVERVIEW

The Project Shipment Planner plays a key role in ensuring smooth coordination between the operations team, project managers, and customers throughout the production and delivery process. This position serves as the main customer contact for scheduling and confirming project delivery timelines, ensuring projects are completed and shipped according to customer expectations.

The Project Shipment Planner will contact customers two weeks prior to production to confirm requested delivery dates and again after production completion to schedule delivery. The role requires strong organizational, communication, and customer service skills, as well as the ability to adapt to changing production or customer needs in a project-based manufacturing environment. This position may also coordinate and schedule third-party logistics (3PL) carrier deliveries as needed.

KEY RESPONSIBILITIES

  • Contact customers via phone and email, two weeks before production to confirm delivery requests and gather any special requirements.
  • Communicate with customers via phone and email, after production completion to schedule shipment or delivery of finished projects.
  • Coordinate with operations, production planning, and project management teams to align customer delivery expectations with manufacturing timelines.
  • Coordinate and schedule 3PL (third-party logistics) deliveries, including carrier communication and confirmation of delivery appointments.
  • Update internal systems and scheduling tools to reflect confirmed and adjusted delivery dates.
  • Monitor and adapt schedules when production timelines or customer requests change.
  • Prepare and issue Bills of Lading (BOLs) and other required shipping documentation.
  • Support the Shipping Manager in coordinating outbound shipments and monitoring carrier schedules.
  • Provide professional, courteous, and timely customer service via phone and email.
  • Maintain accurate and detailed records of customer communications and scheduling updates.

QUALIFICATIONS

  • Minimum 2 years’ experience in logistics, scheduling, or customer service (experience in manufacturing or project-based operations preferred).
  • Strong communication and phone skills with a focus on customer satisfaction.
  • Excellent planning, organization, and time management skills.
  • Proficiency with ERP systems, scheduling tools, and Microsoft Office (Excel, Outlook).
  • Ability to multitask and remain flexible in a dynamic production environment.
  • Detail-oriented and accurate with documentation and scheduling data.
  • Team player with the ability to collaborate effectively across departments.
