About the Role
We are a personal injury law firm seeking a Legal Support Specialist to assist our legal assistants and paralegals with high-volume, process-driven tasks. This role focuses on requesting and tracking medical records, police reports, and other case documentation, as well as consistent follow-up and organization.
This is not a paralegal or legal assistant role and does not involve substantive legal work. It is an ideal position for someone who is detail-oriented, reliable, comfortable with repetitive administrative tasks, tracking requests, following up with third parties, and working within structured workflows and possesses strong follow-through.
Key Responsibilities
- Request medical records and billing from healthcare providers and other third-party vendors
- Request police reports, incident reports, and other third-party records
- Track and follow up on outstanding record requests
- Maintain accurate logs and status updates in the firm’s case management system
- Upload, label, and organize records and documents
- Prepare standardized letters, emails, and forms using templates
- Communicate with providers, agencies, and vendors by phone, email, and fax
- Support legal assistants and paralegals with overflow and support tasks
- Ensure records and documentation are complete and timely
This Role Does Not Include
- Legal research or analysis
- Drafting pleadings or discovery
- Providing legal advice
- Acting as a paralegal or attorney
Qualifications
- High school diploma required (some college preferred)
- Prior experience in a law firm, medical office, insurance office, or records department is a plus
- Strong attention to detail and organizational skills
- Comfortable with repetitive, task-based work
- Reliable follow-up and time management
- Professional written and verbal communication skills
- Ability to work independently
Preferred Skills
- Experience with case management software (MyCase, etc.)
- Ability to speak Spanish
- Familiarity with medical records or insurance documentation
- Basic computer skills (email, document management, data entry)
