Role:
To oversee and administer the project activity within the Credit Union. Responsible for the execution of projects by handling administrative tasks, coordinating communication among internal and external stakeholders, tracking progress, and maintaining comprehensive documentation for each project or initiative.
Essential Functions & Responsibilities:
- Develops and maintains comprehensive project documentation including but not limited to project plans, project timelines, resource schedules, and reporting frameworks.
- Integrates best-practices into project management activity, including but not limited to systems for quality control, continuous improvement, and risk assessment.
- Communicates project information to all stakeholders clearly, accurately, and in a timely manner.
- Prepares meeting agendas and takes minutes from meetings. Distributes meeting minutes and agendas promptly. Tracks project correspondence and maintains project knowledgebases.
- Assist with testing and participating in review of new and current products and projects. Ensures projects and products meet the standards defined by the project stakeholders.
- Coordinates and schedules meetings for internal and external project stakeholders.
- Monitors project timelines, budgets, and deliverables. Assists in the preparation of progress reports and relevant updates. Assigns and tracks tasks and deadlines using the existing project management software.
- Serves as a liaison between various departments and teams, facilitating communication among stakeholders, vendors, and project teams.
- Serves as the dedicated analyst for assigned functional areas.
- Performs other job-related duties as assigned.
Performance Measurements:

Ensures that project activities are timely and completed in accordance with established quality standards, procedures and budget requirements. Related documentation is complete, accurate, and timely.

Documents proof of communication to team members clearly outlining duties, timelines, and expectations.

Monitors work performed by project team members, ensuring tasks are completed in a timely manner.
4.
Generates detailed reports relating to project status and compliance in a timely manner.
5.
Maintains relationships with outside vendors and suppliers. Reviews supplier specifications for adherence to project specifications.
6.
Maintains communication with supervisor regarding activities and significant problems.
Knowledge and Skills:
Experience
One year to three years of similar or related experience.
Education
(1) A bachelor's degree, or (2) achievement of formal certifications recognized in the industry as equivalent to a bachelor's degree (e.g., information technology certifications in lieu of a degree).
Interpersonal Skills
Work involves much personal contact with others inside and/or outside the organization for the purpose of first-level conflict resolution, building relationships, and soliciting cooperation. Discussions involve a higher degree of confidentiality and discretion, requiring diplomacy and tact in communication.
Other Skills
Knowledge of project management standards including but not limited to project lifecycle management, scope management, time management, budgeting and cost control, risk assessment, quality assurance, resource management, change management, and the use of various project management tools. Must stay abreast of best-practices and incorporate industry standards into project administration activity.
Physical Requirements
FINGER DEXTERITY: Using primarily just the fingers to make small movements such as typing, picking up small objects, or pinching fingers together.
TALKING: Especially where one must frequently convey detailed or important instructions or ideas accurately, loudly, or quickly.
AVERAGE HEARING: Able to hear average or normal conversations and receive ordinary information.
REPETITIVE MOTION: Movements frequently and regularly required using the wrists, hands, and/or fingers.
AVERAGE VISUAL ABILITIES: Average, ordinary visual acuity necessary to prepare or inspect documents or products, or operate machinery.
PHYSICAL STRENGTH: Sedentary work; sitting most of the time. Exerts up to 10 lbs. of force occasionally.
