Executive Assistant

The Executive Assistant serves as a strategic partner to the CEO, providing high-level administrative and operational support to maximize executive effectiveness and ensure seamless day-to-day operations. This role goes far beyond traditional administrative responsibilities and requires a highly independent thinker who can anticipate needs, solve problems proactively, and exercise exceptional judgment in a fast-paced environment.

The ideal candidate is polished, resourceful, and detail-oriented, with a strong sense of ownership and a positive, “can-do” attitude. This individual must be comfortable managing competing priorities, handling highly confidential information, and acting as a trusted extension of executive leadership. Success in this role requires critical thinking, adaptability, professionalism, and the ability to build strong relationships across internal and external stakeholders.

Requirements of the Executive Assistant

  • Good job stability
  • 5+ years of executive administrative experience supporting C-suite leadership
  • Proven experience managing complex executive calendars, travel arrangements, and high-level meeting coordination
  • Strong critical thinking skills with the ability to anticipate needs, solve problems independently, and make sound decisions
  • Exceptional attention to detail and ability to maintain accuracy in a fast-moving environment
  • Positive, proactive, and professional “can-do” attitude with a high level of accountability
  • Excellent written and verbal communication skills with strong business professionalism
  • Demonstrated ability to handle confidential and sensitive information with discretion
  • Highly organized with the ability to prioritize multiple tasks and adapt quickly to changing demands
  • Strong interpersonal skills with the ability to build trust and credibility with executives, clients, and internal teams
  • Proficiency in Microsoft Office and other business support systems

Responsibilities of Executive Assistant

  • Manage and optimize the CEO’s calendar, including scheduling, prioritization, and protection of critical focus time
  • Coordinate domestic and international travel arrangements, including detailed itineraries and contingency planning
  • Serve as a primary point of contact for executive communications, screening and prioritizing emails, calls, and requests
  • Prepare meeting agendas, presentations, reports, briefing materials, and executive correspondence
  • Coordinate leadership meetings, customer visits, and strategic business engagements from planning through follow-up
  • Attend meetings as needed to capture notes, track action items, and ensure timely completion of deliverables
  • Monitor and manage expense reporting, reimbursements, and related documentation
  • Review and process internal expense submissions for accuracy and policy compliance
  • Support planning and execution of internal meetings, executive events, and customer-facing functions
  • Track key priorities, deadlines, and special projects on behalf of the CEO, ensuring accountability and progress

Full-Time, DIRECT HIRE

Pay is $100,000 - $120,000 annually, based on experience
