We are looking for a dedicated part time Front Desk Coordinator to join our team on a contract basis in Pleasanton, California. In this role, you will serve as the first point of contact for visitors and provide essential administrative support to ensure smooth operations. This is an excellent opportunity for someone with strong organizational and communication skills who thrives in a dynamic office environment. This is a short term temporary position.


Responsibilities:

• Welcome and assist visitors, ensuring a positive and detail-oriented experience.

• Manage incoming and outgoing mail distribution efficiently.

• Handle multi-line phone systems, directing calls and messages appropriately.

• Perform data entry tasks with accuracy and attention to detail.

• Coordinate concierge services and provide exceptional customer service.

• Organize and maintain physical and digital files for easy access.

• Utilize Microsoft Office tools, including Excel, Word, and Outlook, to support administrative tasks.

• Collaborate with team members to address office needs and improve workflow.

• Ensure the front desk area remains tidy and presentable at all times.

• Proven experience in administrative assistance or front desk roles.
• Proficiency in handling multi-line phone systems.
• Strong interpersonal skills and a customer-focused mindset.
• Familiarity with Microsoft Excel, Word, and Outlook.
• Ability to perform accurate data entry and file organization.
• Exceptional organizational skills and attention to detail.
• Demonstrated ability to manage multiple tasks in a fast-paced environment.
