Order Processing Specialist

Fox Valley Tool & Die is looking for a motivated, detail-oriented Order Processing Specialist to join our team.

\n


\n

In this role, you’ll help manage customer orders from receipt through production, shipping, and billing. You’ll work closely with Project Managers, Shipping & Receiving, customers, and other departments to ensure orders are processed accurately, documentation is complete, and customer requirements are communicated throughout the process.

Key Responsibilities

\n

    \n
  • Process customer purchase orders accurately and efficiently from order entry through shipment and billing.
  • \n

  • Review customer purchase orders and related documentation for accuracy, completeness, and customer requirements.
  • \n

  • Enter purchase orders and maintain accurate order information within the company’s ERP system.
  • \n

  • Prepare and send order acknowledgements and other order-related correspondence to customers.
  • \n

  • Work closely with Project Managers to coordinate customer orders, priorities, due dates, and changes.
  • \n

  • Create routers/work tickets and assemble drawings, specifications, and other documentation required for production.
  • \n

  • Prepare shipping documentation and coordinate with Shipping & Receiving to support accurate and timely shipments.
  • \n

  • Monitor order status and assist with expediting orders when necessary.
  • \n

  • Communicate with customers by phone and email regarding order acknowledgements, order status, delivery information, and other order-related questions.
  • \n

  • Review completed orders and compile required documentation for billing.
  • \n

  • Scan, organize, and maintain packing slips, purchase orders, and other customer and order documentation.
  • \n

  • Prepare reports and other documentation for Project Managers as needed.
  • \n

  • Assist Project Managers with processing quotes as needed.
  • \n

  • Provide administrative and order-processing support to Project Managers and Shipping & Receiving.
  • \n

  • Provide backup support for other team members as needed.
  • \n

  • Maintain accurate and organized records in accordance with company procedures and Quality Management System requirements.
  • \n

  • Maintain a safe, clean, and organized work environment
  • \n

  • Perform other duties as assigned.
  • \n

Qualifications

\n

    \n
  • High school diploma or GED required; associate, technical, or bachelor’s degree preferred.
  • \n

  • Previous experience in order processing, customer service, administrative support, manufacturing, or a related role preferred.
  • \n

  • Experience working with ERP software preferred.
  • \n

  • Basic proficiency with Microsoft Office and Windows.
  • \n

  • Strong attention to detail and commitment to accuracy.
  • \n

  • Ability to organize and prioritize multiple orders, deadlines, and responsibilities.
  • \n

  • Strong written and verbal communication skills.
  • \n

  • Professional and comfortable communicating directly with customers.
  • \n

  • Strong interpersonal skills and ability to work collaboratively across departments.
  • \n

  • Positive, helpful attitude with a willingness to support the team.
  • \n

  • Ability to work independently and take ownership of assigned responsibilities.
  • \n

Work Schedule

\n

Monday-Friday, 7:30 AM-3:30 PM

\n

This is a full-time, on-site position.
