We are looking for a Facilities Assistant to support daily building operations for a university environment in Kalamazoo, Michigan. This Long-term Contract, approximately 3-month, position is ideal for someone who is organized, practical, and confident managing facility-related requests with clear communication and accurate records. The role will help coordinate conference room readiness, track maintenance activity, and support smooth day-to-day facilities operations across campus spaces. 100% onsite, M-F, 8am-5pm.
Responsibilities:
• Coordinate day-to-day facilities support activities to help maintain safe, functional, and well-prepared university spaces.
• Monitor and update work orders within a computerized maintenance management system, ensuring requests are recorded accurately and followed through to completion.
• Prepare conference rooms for meetings and events by confirming room setup, equipment readiness, and overall space condition.
• Maintain clear facility records and documentation related to service requests, room usage, and operational processes.
• Communicate with staff, vendors, and internal departments to provide timely updates on maintenance needs and facility support activities.
• Assist with scheduling and tracking routine maintenance tasks to support efficient building operations.
• Review facility issues with attention to detail and help identify practical next steps for resolution.
• Support the facilities coordination function by helping organize requests, priorities, and service follow-up across multiple needs.
• Experience working with a computerized maintenance management system in a facilities or operations setting.
• Background in facilities coordination, office services, or building support work.
• Strong written and verbal communication skills with the ability to share information clearly and professionally.
• Ability to create, maintain, and organize accurate documentation and process records.
• High attention to detail and a practical approach to resolving day-to-day operational issues.
• Comfortable managing multiple requests and priorities in a fast-paced environment.
• Proficiency with basic administrative and computer-based tracking tools used in facility support roles.
