Responsibilities:
• Provide administrative support to a team of attorneys and paralegals, including document preparation and filing.
• Manage calendars, schedule appointments, and coordinate meetings to ensure timely communication and organization.
• Handle confidential correspondence and legal documents with discretion and accuracy.
• Assist in case management by organizing files, tracking deadlines, and maintaining accurate records.
• Perform data entry tasks and manage legal databases to ensure information is up-to-date.
• Serve as a backup for other secretaries in the practice group during absences.
• Utilize legal software tools, such as Aderant and Case Management Software, to streamline tasks and processes.
• Support insurance defense or medical malpractice cases, leveraging prior legal experience where applicable.
• Facilitate client relations by addressing inquiries and providing exceptional service.
• Collaborate with the team on administrative projects and billable work as opportunities arise.
• Proven experience as a legal secretary or in a similar administrative role within a law firm.
• Familiarity with legal software tools such as Aderant, Adobe Acrobat, and Case Management Software.
• Strong organizational skills and attention to detail for managing files and tracking deadlines.
• Proficiency in calendar management and scheduling.
• Ability to handle confidential documents and correspondence with professionalism.
• Effective communication skills for client relations and team collaboration.
• Prior experience in insurance defense or medical malpractice is preferred but not required.
