Tarsco Bolted Tank is seeking to add a dynamic Proposal Coordinator to our team! This position is officed at 5897 State Highway 59 in Goodman, MO. The primary office hours are 10 hour shifts Monday-Thursday with daily overtime and an additional day as required to support the business needs.
Job Summary:
The Proposal Coordinator is responsible for coordinating customer Requests for Quotation (RFQs) from initial receipt through final proposal delivery. This position reviews customer specifications, drawings, plans, and bid documents; identifies scope requirements, assumptions, exclusions, risks, and clarifications; enters and manages RFQ information within the quote system; supports the estimating process; and performs quality reviews of completed estimates and proposal documents before release to the Regional Sales Manager or customer.
The Proposal Coordinator serves as the central point of coordination between Sales, Estimating, Scheduling, Engineering, Purchasing, Operations, and Quality to ensure proposals are accurate, complete, competitive, and submitted on time.
Essential Duties and Responsibilities:
· Review incoming RFQs, invitations to bid, customer specifications, drawings, contracts, and supporting project documentation.
· Extract and organize all information necessary to accurately define project scope and prepare opportunities for estimating.
· Review customer-provided drawings and specifications to identify required tank components, accessories, coatings, appurtenances, services, construction requirements, and customer deliverables.
· Enter complete and accurate RFQ information into the company quoting system.
· Identify and document project assumptions, clarifications, exclusions, risks, customer requirements, and scope constraints.
· Recognize and communicate commercial, contractual, technical, schedule, execution, and operational risks associated with opportunities.
· Review customer contract requirements and communicate applicable requirements to estimating and management.
· Coordinate with Regional Sales Managers, Estimators, Purchasing, Scheduling, Engineering, Manufacturing, and Construction personnel to obtain required information and resolve questions.
· Ensure project documents are properly organized, filed, and maintained within company systems.
· Utilize PDF and document markup tools to identify requirements, communicate questions, highlight risks, and support internal review processes.
· Establish and facilitate internal bid review meetings for projects that are high value, high risk, technically complex, strategically important, or subject to unique commercial requirements.
· Support quote queue visibility and prioritization to help ensure deadlines are achieved.
· Track quotation progress throughout the estimating process and proactively communicate concerns that could impact proposal quality or submission deadlines.
· Review completed estimates and proposal documents prior to release.
· Validate that proposal scope aligns with customer requirements and internal estimating assumptions.
· Verify inclusion of all required assumptions, qualifications, exclusions, clarifications, schedule commitments, commercial terms, and customer-specific requirements.
· Identify errors, omissions, inconsistencies, unclear language, unsupported commitments, or other issues requiring correction before proposal release.
· Coordinate required revisions with estimating and other stakeholders.
· Prepare final proposal packages and provide completed proposals to the Regional Sales Manager or customer as directed.
· Complete customer prequalification forms, vendor registration documents, and proposal support documentation as required.
· Assist in development and maintenance of proposal templates, RFQ checklists, risk review processes, and standardized work instructions.
· Identify opportunities to improve proposal quality, efficiency, consistency, and risk management throughout the quotation process.
· Perform other duties as directed or assigned by management.

Education and/or Experience:
· High School Diploma or GED required
· Associate or Bachelor degree in Construction Management, Engineering, Business, Project Management or related field preferred
· Minimum of two years of experience in estimating support, proposal coordination, project coordination, construction, manufacturing, engineering, sales support, procurement, project controls, or related functions preferred.
· Proficient use of Microsoft Office applications including Excel, Word, Outlook, Teams, and PowerPoint.
· Proficient use of Adobe Acrobat or equivalent document review software.
· Experience reviewing technical drawings, specifications, contracts, and bid documents preferred.
· Experience with CRM, ERP, estimating, or quotation management systems preferred.
· Experience in tanks, structural steel, coatings, industrial construction, manufacturing, fabrication or related industry experience

Other Requirements:
· Ability to lift up to 25 pounds and work in an office environment which includes sitting up to 10 hours per day and utilizing stairs
· Ability to work overtime as need to support business needs
· Ability to visually review technical documents, specifications, schedules and drawings
· Ability to occasionally enter production facility and adhere to all personal protective equipment (PPE) requirements to include but not limited to steel toed shoes, hearing protection, hardhat, safety glasses, etc.
