Senior Contracts Administrator
Position Overview
The Contracts Administrator supports the administration and management of U.S. Government contracts and subcontracts throughout the contract lifecycle. This role works closely with contracts leadership, program management, finance, and legal teams to ensure contractual compliance, accurate documentation, and timely submission of deliverables.
The ideal candidate will have experience supporting federal contracts in a government contracting environment and possess a solid understanding of federal procurement regulations and contract administration best practices.
Key Responsibilities
- Provide day-to-day administration of assigned U.S. Government prime contracts, task orders, and subcontracts from award through closeout.
- Assist with the review and analysis of government solicitations, contracts, and modifications to ensure compliance with contractual requirements and federal regulations.
- Maintain complete and accurate contract files, documentation, and records in accordance with company policies and regulatory requirements.
- Prepare and process contract documentation including modifications, subcontract agreements, non-disclosure agreements, teaming agreements, and other contractual instruments.
- Support proposal efforts by assisting with contract compliance reviews, preparing contractual sections of proposals, and coordinating with internal teams during the proposal process.
- Track contract deliverables, reporting requirements, and key deadlines to ensure timely submissions and compliance with contractual obligations.
- Coordinate with program management, finance, and procurement teams to support contract execution and ensure alignment with contractual terms and conditions.
- Maintain contract and proposal data within internal contract management systems and databases.
- Support subcontract administration activities including documentation, reporting, and compliance monitoring.
- Assist with customer inquiries, audits, fact-finding activities, and contract negotiations as needed.
- Serve as a point of contact for internal teams regarding contract requirements, documentation, and compliance processes.
- Support the preparation and maintenance of contract-related reports and assist with contract closeout activities.
- Contribute to process improvements and support departmental initiatives as needed.
Qualifications
- Bachelor’s degree in Business Administration, Accounting, Finance, or a related field.
- 3–7 years of experience supporting the administration of U.S. Government contracts or subcontracts.
- Working knowledge of federal procurement regulations including the Federal Acquisition Regulation (FAR), Defense Federal Acquisition Regulation Supplement (DFARS), and related agency supplements.
- Experience supporting multiple government contract types such as Firm Fixed Price (FFP), Time & Materials (T&M), Blanket Purchase Agreements (BPAs), and GSA Schedules.
- Familiarity with commercial agreements including Master Service Agreements, Non-Disclosure Agreements, and Teaming Agreements.
- Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
- Excellent attention to detail and ability to maintain accurate documentation and contract records.
- Strong written and verbal communication skills with the ability to work effectively across cross-functional teams.
- Ability to interpret contractual language and identify potential compliance concerns.
- Self-motivated with the ability to work independently and prioritize workload effectively.
