Job title: Concierge


Job Summary: The Concierge is often the initial contact and first impression that many people have of Willow Towers. They are responsible for greeting visitors, handling both external call and internal phone calls, taking and communicating important messages, and monitoring the first floor. The Concierge is also responsible for administrative duties and tasks that support the Chief Marketing Officer and the Executive Director in assuring that the community runs smoothly and efficiently.


Reports To: Lead Concierge / Administration


Duties and Responsibilities:

  • Customer Service.
  • Administrative duties.
  • Liaison between Care Managers and Resident.

Front Desk and Café:

  • Keep desk area organized and neat.
  • Receive and send any packages.
  • Answer incoming telephone calls and resident calls, forward and take messages as appropriate.
  • Monitor entry area for visitors and guests, greet and direct as necessary.

Sales and Marketing:

  • Make packets as needed.
  • Handle inquiry calls as necessary.

Administrative Duties:

  • Read Daily Log when arriving on duty.
  • Review the Concierge Book upon arrival.
  • Update:
    • Move-In and Move-Out Register daily.
    • Kiosk, Guest, and Sign-In Logs as necessary.
  • Write out meal tickets for employees and family members.
  • Tally meal count sheets for accounting.
  • Organize and distribute mail to Executive Director, department heads, and residents.
  • Complete all work as assigned by the Executive Director or Lead Concierge.
  • Mail brochures and handle marketing mailings.

Customer Service:

  • Organize and prepare resident mail for distribution.
  • Collect resident newspapers and distribute.
  • Collect community's newspaper and distribute to library or reading area.
  • Post daily activities.
  • Handle appointments for residents and family members (hairdresser, transportation, etc.)

Job Qualifications:

  • Possess the ability to effectively read, write, and communicate in English.
  • Ability to manage multiple priorities.
  • Computer skills.
  • Experience handling telephones and /or in a customer service position.
  • Good organizational skills.
  • Pleasant disposition.
