About the Role
Our firm is partnering with a mission-driven real estate and property management organization specializing in affordable and mixed-income housing communities. We are seeking a flexible and resident-focused Site Specialist to support multiple properties within a regional portfolio. This role plays a critical part in maintaining high occupancy, ensuring regulatory compliance, and providing excellent service to residents across assigned communities.
The ideal candidate is proactive, highly organized, and comfortable working across multiple sites while balancing leasing, compliance, and resident relations responsibilities.
Job Description
The Site Specialist supports multiple housing communities as directed by a Regional Manager and serves as a key on-site and roving resource. Responsibilities include, but are not limited to:
- Support daily property operations across assigned sites to maintain occupancy, compliance, and resident satisfaction.
- Ensure all residents are registered in the resident portal and provide ongoing education regarding rent payments, maintenance requests, and communication channels.
- Actively market and lease available units by conducting property tours, assisting prospective residents through the application process, and coordinating with internal teams and external partners regarding vacancies and terminated leases.
- Inspect vacant units to ensure readiness for leasing and report maintenance or turnover needs to the appropriate teams.
- Educate residents on lease terms and community policies and issue violation notices as directed.
- Escalate complex resident concerns, lease violations, or property issues to the Regional Manager in a timely manner.
- Provide routine updates on leasing activity, resident engagement, and outstanding issues.
- Coordinate with service providers to ensure consistent communication related to lease violations, late notices, and property-related concerns prior to resident notification.
- Maintain compliance with affordable housing program requirements, including HUD and IRS regulations.
- Generate and issue recertification notices
- Process annual and interim recertifications
- Manage lease renewals and Section 8 voucher renewals, when applicable
- Coordinate Section 8 inspections with centralized maintenance teams
- Assist with file audits, management reviews, and compliance reporting
- Participate in required compliance trainings
- Ensure late rent notices are issued according to policy and assist residents with payment plans as applicable.
- Notify leadership promptly regarding broken payment plans so appropriate next steps may be taken.
- Forward physical payments and relevant documentation to Business Operations to ensure accurate application of funds.
- Complete special projects and additional duties as assigned by the Regional Manager.
Qualifications
Required Qualifications:
- High school diploma or equivalent
- Minimum of 4 years of experience leading or motivating teams to achieve operational goals
- Experience managing or supporting residential communities with 100 or more units
- Prior experience with affordable housing programs, including Tax Credit and Section 8
- Strong customer service and resident relations skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to manage multiple priorities
- Professional demeanor and conduct
- Comfort with technology, including Microsoft Office applications
Preferred Qualifications:
- Experience with property management software (Yardi experience is a plus, but not required)
- Prior experience in a multi-site or roving property management role
- Familiarity with compliance audits, agency inspections, and affordable housing regulations
