Position: Medical Records Clerk
Location: Deltona, Florida
Shift: Full-Time | 8:30 AM – 5:00 PM | Some Weekends
Salary: $22–$24 per hour

West Volusia Healthcare & Rehabilitation is seeking a highly organized and detail-oriented Medical Records Clerk to join our compassionate and resident-focused team. This vital position is responsible for managing, maintaining, and protecting resident medical records while ensuring compliance with state and federal regulations. The ideal candidate will support both clinical and administrative operations with professionalism and accuracy.

Key Responsibilities:

  • Maintain and organize open medical charts, ensuring timely completion and closure as needed.

  • Perform administrative duties related to medical records including answering phone inquiries, managing correspondence, and supporting healthcare staff.

  • Coordinate secure shredding of outdated records in compliance with State and Federal regulations.

  • Obtain all required departmental and physician signatures on discharge charts within 30 days of discharge.

  • Serve as liaison during state and consultant visits, demonstrating professionalism and teamwork.

  • Efficiently manage the medical records office—monitor supplies, uphold organization, and ensure confidentiality.

  • Prepare for and assist with Medicare and OMIG audits, ensuring accuracy and compliance.

  • Process medical record requests for disability, no-fault, and other legal cases in accordance with proper laws and protocols.

  • Type physicians’ orders and assist with transcriptions for discharge charts.

  • Follow proper credentialing protocols, ensuring compliance when releasing medical records.

Requirements:

  • Must understand nursing home credentialing for providers and follow proper protocols and laws for releasing medical records.

  • Minimum of 1 year of experience in medical records management.

  • At least 1 year of experience in a Nursing Home or Long-Term Care setting.

  • Proficiency in medical terminology and medical recordkeeping systems.

  • Computer literacy, including Outlook, Excel, Microsoft Edge, and PointClickCare (PCC).

  • Strong organizational skills with the ability to make independent decisions.
