Fast-paced estate planning, probate, and Medicaid firm focused on serving families in the Woburn metro/North Shore area in need of a proactive, can-do team player with an exacting eye for detail.


This position is responsible for all in-office support for the firm, including general office administration as well as legal assistance. This role is responsible for keeping all remote members informed about the flow of paperwork, mail, clients, and other updates, as well as providing executive assistance to the attorney. Estate planning is a central part of the role: You will be responsible for a final review of all documents, preparing for signing appointments, witnessing or notarizing as needed, transferring real estate into trusts, and preparing final portfolios for clients.


The ideal person for this role is a dynamic multitasker who enjoys helping others and working as part of a team. You have experience in the estate planning field and in administrative office support positions. You can efficiently manage and organize high volumes of paperwork (both physical and digital), and present information clearly and intelligently. You are a self-starter who can show initiative and take pride in your work.


You can work well independently, but also help drive the team forward through effective organization and communication. Your attention to detail is impeccable. You are self-assured but continually focused on self-improvement. You are empathetic and caring and genuinely want a client’s experience with us to be the best possible.


This is primarily an in-office position, with some WFH available on Wednesdays and Fridays, depending on performance.

Compensation:

$24 - $30 hourly

Responsibilities:

  • Assist with estate planning matters by reviewing, printing, and preparing documents for signing appointments; arranging witnessing or notarizing as needed, either in-office or by mailing documents out with instructions; filing deeds online or by mail; and creating final estate planning portfolios for clients
  • Provide general office management assistance, including processing all incoming and outgoing mail; meeting/greeting clients in the office; handling pickup/drop-off of documents; ordering office supplies; and scanning or making copies as needed
  • Assist the receptionist and intake specialist with incoming calls, initial client screenings, and scheduling appointments as needed
  • Assist in probate and MassHealth matters by organizing documentation supplied by clients; scanning materials; organizing and maintaining physical folders; acting as liaison between paralegal/attorney and client; and handling filings by mail as needed
  • Maintain detailed records for all matters using our CRMs (Lawmatics and Clio)

Qualifications:

  • Associate’s degree, or some college is preferred; high school diploma or equivalent is necessary
  • At least 1-2 years of previous experience in a law firm setting performing administrative tasks
  • Proficient with MS Office products
  • Some knowledge of legal software, case management, and docketing programs
  • Applicants must have excellent communication skills and organizational skills
  • Ability to work effectively in a fast-paced environment and meet deadlines with quick turnaround times
  • Excellent proofreading skills and sustained attention to detail across repetitive tasks
  • Ability to maintain a calm, supportive, can-do attitude under pressure
  • Ability to work independently and troubleshoot issues with the resources available to you, but also feel comfortable asking questions for clarification or assistance
  • Ability to comfortably use and adapt to different software and programs, including Microsoft Suite, Adobe, DropBox, Lawmatics, Clio, Simplifile, Intermedia Unite, and others as needed
