Position Overview
The Special Projects Maintenance Manager plays a critical role in ensuring the smooth execution of maintenance operations, special projects, and new construction transitions across the portfolio. This high-impact, multi-faceted role requires a seasoned professional who excels in hands-on maintenance work, project oversight, and process management. With a deep understanding of property maintenance and construction standards, this position bridges the gap between field operations and strategic execution, ensuring properties maintain the highest level of functionality and quality.
Key Responsibilities
New Construction Closeout & Transition Management
- Take ownership of final punch list completion for newly constructed properties, ensuring all systems and finishes meet company standards before turnover.
- Act as the primary contact at new sites post-construction, addressing any outstanding issues and ensuring a smooth operational launch.
- Train and transition incoming maintenance teams, ensuring they are fully equipped to take over day-to-day property operations.
- Collaborate with development, construction, and property management teams to provide expert insights and recommendations on building performance.
- Design and set up new workshop, tool procurement, backstock management and procedures.
Special Projects Direction
- Lead and oversee high-value, portfolio-wide projects that fall outside the scope of stationed maintenance teams.
- Partner with Regional Managers, vendors, and contractors to ensure projects are executed on time, within budget, and to the highest standards.
- Special project scope includes, but is not limited to:
- Large-scale capital improvement projects (e.g., roof replacements, exterior restorations, and system upgrades).
- Bulk procurement and inventory management for maintenance materials and supplies.
- Execution of portfolio-wide maintenance initiatives to drive efficiency and cost savings.
- Act as the point person for vendor coordination, ensuring clear communication and accountability throughout the project lifecycle.
Critical Response & Strategic Support
- Step into on-site maintenance roles as needed, ensuring seamless service and operational continuity.
- Provide expert-level troubleshooting for mechanical, plumbing, electrical, and structural issues, reducing downtime and maintaining resident satisfaction.
- Serve backup technician for properties experiencing maintenance staff shortages due to illness, turnover, or other temporary vacancies.
Qualifications
- Extensive experience in property maintenance, including HVAC, plumbing, electrical, carpentry, and general building systems.
- Strong project management skills with the ability to oversee multiple complex initiatives simultaneously.
- Deep technical knowledge of construction standards, maintenance protocols, and vendor management.
- Exceptional troubleshooting abilities and a proactive approach to problem-solving.
- Ability to work independently, prioritize tasks effectively, and manage time across multiple sites.
- Strong communication skills to coordinate with cross-functional teams, vendors, and property staff.
- Flexibility to travel between properties as needed.
Working Hours & Supervision
- Monday Friday, 8 AM 5 PM, with flexibility for urgent maintenance needs.
- Reports to the Director of Building Operations or other corporate leadership as directed by company ownership.
