Experienced Dispatcher / Scheduler – Septic & FOG Services

Position Summary

We are seeking an experienced Dispatcher / Scheduler with a strong background in the septic, grease, wastewater, and environmental services industry. This position is responsible for coordinating daily schedule, efficiently dispatching field technicians and drivers, managing customer schedules, and ensuring that jobs are completed safely, accurately, and on time.

The ideal candidate is highly organized, calm under pressure, an excellent communicator, and comfortable working in a fast-paced environment where schedules can change throughout the day.

Key Responsibilities

  • Coordinate and manage daily schedules for septic, grease trap, pumping, and related service crews.
  • Dispatch drivers and technicians based on location, availability, equipment, job requirements, and priority.
  • Schedule routine, recurring, emergency, and on-demand service calls.
  • Monitor crews throughout the day and make real-time schedule adjustments as needed.
  • Communicate clearly with drivers, technicians, customers, property managers, and internal staff.
  • Provide customers with accurate service windows and updates regarding arrival times.
  • Prioritize emergency calls, time-sensitive services, and critical customer needs.
  • Optimize routes and workloads to maximize productivity and minimize unnecessary drive time.
  • Coordinate services involving septic tanks, grease traps/interceptors, lift stations, wastewater systems, and other related equipment.
  • Maintain accurate job information, including service addresses, access instructions, tank/interceptor locations, service frequencies, and special customer requirements.
  • Verify that crews have the appropriate trucks, equipment, supplies, and information needed to complete each job.
  • Track job status from dispatch through completion and ensure completed work is properly documented.
  • Communicate schedule changes, delays, cancellations, and additional service requirements promptly.
  • Work closely with operations to resolve scheduling conflicts and field issues.
  • Assist with recurring route planning and development of efficient service schedules.
  • Maintain professional customer relationships and help resolve service-related concerns.
  • Ensure dispatching and scheduling practices follow company policies, safety requirements, and applicable regulations.
  • Perform other administrative and operational duties as needed.

Qualifications & Experience

  • 3+ years of dispatching/scheduling experience, preferably in septic, FOG, wastewater, plumbing, environmental services, or a similar field-service industry.
  • Strong understanding of septic and/or FOG service operations is preferred.
  • Experience dispatching vacuum trucks, septic trucks, grease trucks, service technicians, or other field-service crews is a strong plus.
  • Proven ability to manage multiple crews and changing priorities simultaneously.
  • Excellent geographic and route-planning skills.
  • Strong computer skills and ability to learn scheduling, dispatch, GPS, and fleet-management software.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and organizational skills.
  • Ability to remain professional and composed in a high-pressure environment.
  • Strong problem-solving and decision-making abilities.
  • Customer-service oriented with the ability to communicate effectively with both customers and field personnel.
  • Ability to work independently while also functioning effectively as part of an operations team.
  • High school diploma or equivalent required.

Preferred Qualifications

  • Previous experience with septic pumping, grease trap/interceptor cleaning, FOG collection, wastewater, or environmental services.
  • Experience with recurring commercial service routes.
  • Experience coordinating services for restaurants, commercial properties, municipalities, property-management companies, or industrial customers.
  • Familiarity with DOT, fleet, environmental, or waste-hauling requirements.
  • Experience with GPS-based dispatch and fleet-tracking systems.
  • Knowledge of service documentation, manifests, disposal requirements, and job tickets.
