These include having their paperwork in order and ensuring their schedule allows time for meetings with customers and technicians, returning calls and handling all the backend work they’re responsible for.

Additionally, developing positive relationships with customers can also help to minimize the stress that service advisors commonly face. According to Marcos, “building rapport with your customers will help you in all situations, whether they are good or bad. If you have strong relationships with your customers, their service experience, no matter how severe the problems with the car are, will be much smoother.” Earning the trust of customers is one of the keys to making a service advisor’s life stress-free.

Automotive Service Advisor Job Description:

  • Daily sales, mindset, leadership training is a non-negotiable
  • Greet and develop an ongoing relationship with customers
  • Help customers care for and maintain their vehicles
  • Set up service appointments that align with the customer's and technicians’ schedules
  • Serve as liaison between the service manager, shop foreman, parts personnel, technicians and warranty administration
  • Support dealership goals for service by generating high sales of services and parts
  • Inspect vehicles and apply proper resources to accurately identify and verify vehicle mileage and service needs
  • Provide customers with The "Why "information on maintenance service items.
  • Identify repeat repairs in customer’s best interest
  • Write and verify accurate repair orders and include supporting documentation
  • Contact customers to keep them in the loop throughout the repair process and communicate when the vehicle is ready for pickup
  • Make 25 daily outbound calls or emails from the recommended service dashboard or the “bring back” customer list.

Duties and Responsibilities

  • Greet customers upon arrival to shop
  • Ascertain reason for customer's visit through verbal interview and visual assessment of vehicle
  • Connect customers with appropriate automotive mechanic or technician
  • Consult with mechanics regarding appropriate service options
  • Develop as many solution methods as possible
  • Explain all service options to every customer, including time and cost estimates
  • Provide in-depth information on original equipment manufacturer (OEM) part options
  • Advise customers on warranty protections and other potential cost-saving service options
  • Track maintenance or repair status and fill out reports on labor and cost of all services
  • Perform post-service inspection with customers and answer any questions they may have
  • Ring up customers at the front desk and facilitate financial transactions
  • Perform customer service duties, i.e. answering the phone, scheduling service appointments, and calling customers to inform them their vehicles are ready for pickup.
  • Manage shop workflow and schedule for mechanics and technicians
