Job DescriptionThe legal receptionist serves as the front-line representative of our prestigious law firm, providing exceptional customer service and administrative support. The ideal candidate will have excellent communication skills, a professional demeanor, and the ability to handle a fast-paced work environment. Essential qualifications include a proven track record in Accounts Receivable within a Law Office setting is required. This position plays a crucial role in creating a positive first impression for clients, visitors, and callers.
Responsibilities
Front Desk Management:
· Greet clients and visitors in a professional and courteous manner. · Manage the reception area to ensure it is tidy and presentable. · Answer incoming calls and direct them to the appropriate person or department. · Assist with side projects from attorneys, paralegals, and marketing.
Accounts Receivable:
· Experience with Accounts Receivable and Collection for Family Law
Client Interaction:
· Assist clients with general inquiries and provide basic information about the firm's services.
Administrative Support:
· Provide administrative support to attorneys and legal staff as needed. · Coordinate meetings, conferences, and appointments.
Document Handling:
· Receive, sort, and distribute mail and packages. · Assist in preparing and organizing legal documents.
Communication:
· Effectively communicate with internal staff and external clients to relay messages and information.· Manage email correspondence and ensure timely responses.
Technology Proficiency:
· Utilize office equipment and technology, including phone systems, computer software, and document management systems.
Confidentiality:
· Maintain strict confidentiality regarding client information and internal matters.
Problem Resolution:
· Address and resolve issues or conflicts that may arise at the front desk. · Escalate complex matters to the appropriate personnel.
Qualifications:
· High school diploma or equivalent; additional education or certification in office management is a plus. · Law Office experience with Accounts Receivable (Required)· Proven experience as a receptionist or in a similar role, preferably in a legal setting. · Excellent interpersonal and communication skills. · Proficient in Microsoft Office Suite (Word, Excel, Outlook). · Ability to handle multiple tasks and calls simultaneously and adapt to changing priorities. · Strong organizational skills and attention to detail. · Professional appearance and demeanor.
Working Conditions
