Investa Management is seeking an Accounting Specialist to support the day-to-day financial operations of our organization. Reporting to the Accounting Manager, you'll play an important role in maintaining accurate financial records, supporting multiple businesses across hospitality, events, contracting, and professional services, and helping ensure our operations run smoothly as we continue to grow.

JOB OVERVIEW:

Position/Title: Accounting Specialist

Reports to: Accounting Manager

Position Summary:

The Accounting Specialist supports the day-to-day financial operations of multiple affiliated companies, with responsibilities including accounts payable, payroll administration, account reconciliations, journal entries, and month-end and year-end close support. This role also helps maintain accurate records, resolve discrepancies, assist with reporting and audits, and ensure transactions are properly recorded across each business entity.


Responsibilities/Tasks

Accounts Payable

  • Process vendor invoices accurately and in a timely manner across multiple entities.
  • Review invoices for proper approvals, supporting documentation, and account coding.
  • Maintain vendor records, including W-9 documentation.
  • Schedule and process vendor payments in accordance with due dates, cash flow needs, and budget requirements.
  • Reconcile vendor statements and resolve discrepancies.
  • Assist with annual 1099 preparation and reporting.
  • Maintain organized AP records and supporting documentation.

Payroll Administration

  • Enter and process Biweekly payroll information.
  • Maintain employee records within payroll system.
  • Add new employees and update payroll-related information as needed.
  • Respond to routine employee payroll questions.
  • Assist with payroll reporting and compliance requirements.

Accounts Reconciliations

  • Reconcile balance sheet accounts including cash, deposits, prepaid expenses, and other assigned accounts.
  • Research and resolve discrepancies in a timely manner.
  • Prepare supporting schedules and documentation for month-end close.

General Accounting Duties

  • Prepare journal entries as assigned.
  • Assist with month-end and year-end closing processes.
  • Support budgeting and financial reporting activities.
  • Assist with audits and requests from external accountants.
  • Maintain accounting files and records in an organized manner.
  • Provide general accounting and administrative support as needed.

Multi-Entity Accounting

  • Support accounting operations across multiple companies.
  • Ensure transactions are recorded accurately within the appropriate entity.
  • Understand and follow entity-specific procedures, budgets, and reporting requirements.
  • Assist with intercompany transactions and reconciliations.

Strengthens culture

Qualifications

  • 3–5 years of experience in accounting, accounts payable, bookkeeping, and/or payroll.
  • Degree in Accounting, Finance, or related field preferred.
  • Experience with QuickBooks and Salesforce is preferred.
  • Strong understanding of general accounting principles.


  • Experience with account coding and chart of accounts structures.
  • Advanced organizational, analytical, and problem-solving skills.
  • High level of professionalism, discretion, and confidentiality.
  • Strong communication and interpersonal skills.
  • Ability to thrive in a fast-paced, entrepreneurial environment.
  • Proficient in Microsoft Word, Outlook and Excel.

Working Conditions

  • Full-time, in-office position.
  • Primarily performed in a professional office environment with extended periods of sitting, computer work, and telephone communication.
  • Extended hours may be required during peak operational periods.
  • May occasionally assist with special projects or company events associated with affiliated businesses.
