About the Role:

The Legal Secretary plays a crucial role in supporting attorneys and legal teams by managing and organizing legal documents, correspondence, and case files with precision and confidentiality. This position ensures the smooth operation of legal processes by preparing and proofreading legal documents, coordinating schedules, and facilitating communication between clients, courts, and legal professionals. The Legal Secretary is responsible for conducting preliminary legal research and assisting with case preparation, which directly contributes to the effectiveness and efficiency of legal proceedings. By maintaining meticulous records and utilizing specialized legal software, the Legal Secretary helps uphold the firm’s standards of professionalism and compliance. Ultimately, this role is vital in enabling legal practitioners to focus on substantive legal work while ensuring administrative tasks are handled expertly and promptly.

Minimum Qualifications:

  • High school diploma or equivalent; completion of a legal secretary or paralegal certificate program is preferred.
  • English/Spanish-fluent in both
  • Proven experience as a legal secretary or in a similar administrative role within a legal environment.
  • Proficiency in legal document preparation and transcription.
  • Familiarity with legal terminology, corporate law, and civil litigation procedures.
  • Strong organizational skills and attention to detail.

Preferred Qualifications:

  • Associate’s or Bachelor’s degree in paralegal studies, legal administration, or related field.
  • Experience using legal research databases such as Westlaw.
  • Knowledge of legal billing software and case management systems.
  • Excellent written and verbal communication skills tailored to legal contexts.
  • Ability to multitask and prioritize in a fast-paced legal office environment.

Responsibilities:

  • Client & Provider Communication: Screening calls, managing emails, coordinating with clients, insurance adjusters, and medical providers.
  • Document Management: Drafting initial correspondence, organizing medical records, formatting documents, and maintaining case files.
  • Scheduling & Calendaring: Booking client appointments, setting up medical appointments, and tracking critical deadlines.
  • Case Organization: Creating and maintaining organized physical and digital case files, ensuring all information is accessible.
  • Administrative Support: General office duties, data entry, and supporting attorneys with tasks to prepare for potential litigation. Requesting investigation information.

Skills:

The required skills such as legal document preparation, transcription, and legal research are essential for producing accurate and professional legal materials that support attorneys’ work. Proficiency in legal writing ensures that correspondence and filings meet court standards and effectively communicate legal arguments. Familiarity with corporate law and civil litigation allows the Legal Secretary to understand case contexts and anticipate attorneys’ needs. Using Westlaw and other research tools daily enables the Legal Secretary to gather relevant case law and statutes efficiently. Additionally, strong organizational and communication skills facilitate seamless coordination between legal teams, clients, and courts, ensuring deadlines are met and information flows smoothly.
