Job Description

Our client is seeking a Property Administrator to support their property management team in Dallas, TX. This seasoned team oversees a portfolio of industrial real estate assets.


Location: Irving, TX

Compensation: $65,000 + 5% bonus | 100% paid health ins | 50% match up to first 10% 401K plus 5% profit sharing to 401K

Schedule: 100% On-Site M-F 8-5


Core Responsibilities

  • Front Office/Guest Services: Serve as the on-site representative, greeting all guests and managing routine office functions, including answering phones, ordering supplies, and handling mail.

  • Administrative & File Management:
    • Create, maintain, and update tenant lease files, vendor contracts, property files, and online ID Plans.
    • Prepare and send welcome letters, renewal packages, and property manuals/handbooks.

  • Tenant Relations & Service:
    • Maintain the tenant contact directory, HVAC compliance tracking, tenant portal, and tenant billback.
    • Manage and track all tenant service calls and inquiries.
    • Coordinate tenant relations activities (newsletters, anniversary cards) and assist with event planning.

  • Accounting & Financial Support:
    • Assist with rent collection, run weekly A/R reports, track delinquencies, and distribute default notices.
    • Prepare monthly rent increase correspondence.
    • Monitor utility accounts: handle transfers for new/terminating tenants, track meters, and prepare monthly bill backs.
    • Support accounts payable: review, code, and distribute invoices daily; create billing invoices; research invoices; and verify payments.
    • Set up new vendors with the accounting department.

  • Compliance & Reporting:
    • Monitor MyCOI Tenant and Vendor Insurance Compliance, notify parties of outstanding requirements, and update corporate on status.
    • Update and distribute tenant stacking plans monthly.
  • Broker & Asset Support:
    • Assist Brokers and Asset Manager with leasing/marketing materials (flyers/boards).
    • Track acquisition/development meeting notes.
    • Provide lease documents and floorplans as needed.



Qualifications

  • Education: High School Diploma required; Bachelor’s Degree preferred.
  • Experience: 2+ years entry-level customer service/office experience; Real Estate experience preferred.

  • Technical Skills:
    • Proficiency in Microsoft Office (Outlook, Word, Excel) required.
    • Experience with YARDI or similar property management software preferred.

  • Key Competencies:
    • Strong organizational skills and attention to detail required.
    • Excellent verbal and written communication skills required (must communicate professionally with internal and external parties).
    • Ability to work independently and prioritize workflow.
    • Basic understanding of general accounting and lease terms preferred.
