EqualAccess is partnering with a well-established property management firm with a strong presence across Queens, Brooklyn, Manhattan, and the Bronx. The organization manages a diverse portfolio of rent-stabilized and affordable housing properties, with a strong focus on regulatory compliance and operational excellence.

We’re hiring a Leasing Coordinator to support a residential portfolio with a focus on rent-stabilized lease renewals and subsidy processing.

Position Summary

This is a highly administrative, detail-driven role responsible for managing lease renewals, ensuring compliance with DHCR regulations, and keeping processes organized and on track.

Key ResponsibilitiesLease Renewals & Compliance

  • Prepare and process rent-stabilized lease renewals in accordance with DHCR and RGB regulations
  • Track lease expirations and ensure renewal notices are sent within 150–90 day timelines
  • Calculate lawful rent increases, including legal and preferential rents
  • Maintain accurate tracking of lease status across a portfolio

Subsidy Processing

  • Prepare and submit subsidy lease renewal packages to agencies including NYCHA, HPD, SCRIE, and CityFHEPS
  • Monitor deadlines and follow up on approvals to ensure timely processing
  • Coordinate with agencies and case workers to resolve outstanding items

Documentation & Systems

  • Scan, upload, and maintain lease documentation in Yardi
  • Generate move-in leases for approved applicants in coordination with internal teams
  • Maintain organized digital records to ensure compliance and audit readiness

Regulatory & Administrative Support

  • Assist with annual DHCR registrations, amendments, and corrections
  • Coordinate with Compliance and Legal teams on rent overcharge and succession matters
  • Support internal processes and ensure documentation accuracy

Tenant Communication

  • Serve as a point of contact for tenants regarding lease renewals and related inquiries
  • Respond to tenant questions in a professional and timely manner

Qualifications

  • 2+ years of experience in NYC residential leasing or property management
  • Working knowledge of rent-stabilized buildings and DHCR regulations
  • Experience handling lease renewals and/or subsidy packages
  • Proficiency in Yardi
  • Intermediate proficiency in Microsoft Excel
  • Strong attention to detail and ability to manage multiple deadlines

Preferred

  • Experience with Section 8, CityFHEPS, NYCHA, or HPD
  • Bilingual (English/Spanish) is a plus
