Duties

  • Greet patients warmly, verify insurance information, and assist with new patient registrations using Electronic Health Record (EHR) systems such as Epic, Meditech, or eClinicalWorks
  • Schedule appointments efficiently utilizing medical scheduling software; manage calendar updates and appointment confirmations
  • Collect and process payments, handle medical billing and coding including CPT (Current Procedural Terminology), ICD-9, ICD-10 codes, and Medicare claims with accuracy
  • Maintain and organize medical records in compliance with HIPAA regulations; review documentation for completeness and accuracy
  • Answer multi-line phone systems with professional phone etiquette; direct calls appropriately and respond to patient inquiries promptly
  • Support clinical staff by preparing exam rooms, assisting with patient documentation review, and managing care plans under supervision
  • Manage office supplies, file medical documents systematically, and perform general clerical tasks such as data entry, typing, filing, and 10-key typing

Requirements

  • Proven clinic experience or medical office experience with strong knowledge of medical terminology and health information management
  • Proficiency in EMR/EHR systems such as Chirotouch or other health records management is essential
  • Solid understanding of medical billing procedures, medical coding (CPT, ICD-9/10), insurance processes including Medicare and health insurance policies
  • Excellent computer skills including Microsoft Office Suite; ability to handle multiple tasks efficiently in a fast-paced environment
  • Strong customer service skills with the ability to communicate effectively via phone and in person; bilingual abilities are a plus
  • Knowledge of clinical confidentiality policies and healthcare regulations such as HIPAA to ensure patient privacy at all times
  • Ability to perform administrative duties including filing, data entry, typing (including 10-key), and maintaining organized medical records
  • High school diploma or equivalent required; additional certifications related to healthcare administration or medical assisting are preferred
