Riggs Distributing, Inc. is a luxury appliance distributor based in Burlingame, California. We distribute Sub-Zero, Wolf, Cove, and Best Hoods appliances throughout Northern California, Western Nevada, and Hawaii. The Front Desk Coordinator supports the Executive Assistants Team and plays a key role in ensuring the smooth and professional operation of our office. This position handles a variety of administrative and coordination responsibilities, including reception, phone and mail distribution , manage master calendar (Executives, Managers, key associates out of office schedules, building events, guests and visitors, maintenance vendors), and meeting and luncheon setup support.

This is a full-time, 40 hours/week, non-exempt position reporting directly to the Executive Assistants and HR Director.

Responsibilities, Expectations and Key Processes include but are not limited to:

Providing the highest level of concierge style customer service to all clients and Riggs guests

  • Answering daily phone calls and routing to specific individuals within the company
  • Being an effective communicator who speaks clearly and is personable and welcoming when answering incoming calls
  • Providing excellent customer service to all
  • Maintaining a friendly and outgoing demeanor
  • Setting the example for others by being reliable and maintaining a clean and professional workspace
  • Being able to put people at ease when they are on the phone or speaking one-on-one with other staff members or customers
  • Receiving and sorting incoming mail and delivering to each department. Outgoing mail: Coordinate pick-up and delivery of express packages (FedEx, UPS, and others)
  • Maintaining and managing inventory of office supplies as needed.
  • Updating and maintaining reception procedures, inventory list, reception area, and conference rooms
    • Following office workflow procedures to ensure maximum efficiency
    • Other duties as assigned

Job Requirements:

  • Must possess excellent phone etiquette, verbal and written communication skills
  • Must be able to type 45 wpm or higher
  • Proficient with Microsoft Office Suite and Outlook
  • High school diploma or equivalent experience, Bachelor’s degree preferred
  • 2+ years of receptionist or administrative experience in a fast-paced environment
  • Must have a clean driving record

  • While performing the functions and duties of this job, employee is regularly required to sit, reach with hands and arms, walk, and talk or hear
  • This job requires some stooping, kneeling, bending, and use repetitive motions
  • Must be able to occasionally lift and/or move up to 25 lbs
  • Moderate dexterity application of basic skills to use calculator, keyboard, phone, and hand/eye coordination
