Spa Coordinator Position
Classification: Part-Time or Full-Time


Shift: Various Must be available to work weekdays, weekends, evenings, and holidays.

Woodhouse Spas are seeking a professional Spa Coordinator to be the friendly and welcoming
face of our spa. As the first point of contact, you will manage guest interactions, oversee daily
logistics, and ensure the spa runs at optimal levels. The ideal candidate is a proactive
problem-solver who excels at multitasking and is passionate about providing a luxury concierge
experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Include the following. Other duties may be assigned.
Is a steward of the Woodhouse brand and protects the brands reputation through
professional excellence.
Provides exceptional guest service, greeting guests warmly, conducting check-ins,
and escorting them to locker rooms or service areas.
Manages the spa schedule by answering phones within three rings and booking
appointments accurately via the POS system.
Drives location revenue by recommending and selling retail products, suggesting
service enhancements, and promoting gift cards.
Oversees spa logistics, including confirming appointments, maintaining the retail areas
presentation, and performing end-of-day close-out reports.
Maintains the "Woodhouse Mood" by ensuring proper lighting, music, aromatherapy,
and overall cleanliness are consistent throughout the day.
Coordinates team operations, giving directives to the hospitality team and
communicating with management to ensure the schedule runs smoothly.
Ensures facility standards by monitoring safety, sterilization, and sanitation
procedures, as well as overseeing daily laundry completion.
Supports leadership by assisting the General Manager and Assistant General Manager
with administrative duties and location needs.

EDUCATION and EXPERIENCE

Bachelors degree required and 35 years of applicable experience in a similar role.

Prior experience in sales (retail or skincare) is a significant advantage.
Customer service background in guest relations, hospitality, or medical administration
is helpful.
Thorough knowledge of spa protocols and procedures (training provided).
Proficiency in POS software and basic office technology.

environment.
Interpersonal prowess: Must be outgoing, friendly, and able to work well both

Discretion: Ability to maintain guest confidentiality and professional boundaries at all
times.

PHYSICAL DEMANDS
Must have the physical strength to stand for long periods of time during a shift.
Must be able to perform light lifting associated with retail inventory and laundry
needs.
