Job Description

Position Summary

The Corporate / Entertainment Legal Assistant provides high-level administrative and legal support to attorneys in a fast-paced law firm environment. This role is responsible for managing attorney calendars, supporting client communications, preparing and formatting legal documents, coordinating filings and signatures, and assisting with contract and matter management. The ideal candidate is detail-oriented, highly organized, and comfortable juggling multiple priorities while maintaining professionalism and discretion.


Key Responsibilities

Administrative & Practice Support

  • Provide daily administrative support to attorneys, including calendar management, scheduling, travel coordination, and meeting preparation.
  • Manage incoming calls and emails; route messages and respond to routine inquiries professionally.
  • Coordinate internal and external meetings with clients, agents, managers, studios, production companies, and outside counsel.
  • Prepare expense reports, reimbursements, and attorney administrative requests.


Document Preparation & Management

  • Draft, revise, proofread, and format legal documents, correspondence, and basic agreements from templates and attorney markups.
  • Create and maintain organized electronic and physical filing systems for matters, clients, and contracts.
  • Manage execution workflows, including preparing signature packets and coordinating electronic signatures (e.g., DocuSign, Adobe Sign).
  • Ensure fully executed agreements are properly saved and distributed to the appropriate parties.


Corporate / Transactional Support

  • Assist with entity formation and corporate maintenance documentation, including organizing corporate records and signature pages.
  • Support attorneys with transaction closing materials, checklists, and compilation of final deal binders.
  • Coordinate with clients and third parties to obtain required documents for closings and corporate compliance.


Entertainment / Business Affairs Support

  • Assist with preparation, tracking, and organization of entertainment agreements (as directed), including:
  • Option/purchase agreements
  • Talent agreements
  • Producer and production services agreements
  • Licensing agreements
  • NDAs and releases
  • Sponsorship and brand agreements
  • Track key contract dates and deadlines (option periods, renewal dates, delivery requirements, etc.).
  • Help maintain contract logs, deal trackers, and status reports for attorneys and clients.


Client Service & Professionalism

  • Maintain a high level of discretion when handling confidential legal and business matters.
  • Provide consistent, polished client service and support attorneys in maintaining strong client relationships.
  • Communicate clearly and professionally with clients, staff, and external contacts.


Required Qualifications

  • High school diploma or equivalent required; college coursework or degree preferred.
  • 5+ years of experience as a legal assistant/secretary in a law firm or comparable professional services environment.
  • Strong proficiency with Microsoft Office (Outlook, Word, Excel) and PDF tools (Adobe Acrobat).
  • Excellent written communication, grammar, and document formatting skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple attorneys, competing deadlines, and shifting priorities.
  • Professional demeanor and strong client service skills.
  • Ability to maintain confidentiality and exercise discretion.
